The Program Manager and Liaison to University Relations is a multifaceted role based in the College of Arts and Sciences Dean's Office. This position involves managing and staffing donor-funded and high-profile events that contribute to the university's engagement with alumni, donors, and the broader community. This role is central to maintaining the operational efficiency of fundraising efforts, acting as the primary liaison between the Dean's Office and the University Relations division, which includes the Alumni and Development offices. The Program Manager is entrusted with coordinating communication, drafting annual reports, and ensuring timely submission of key documents related to fundraising and donations, thereby supporting the College's strategic initiatives and community outreach.

The scope of this role extends to collaborating with various college and university stakeholders, including faculty, administrative staff, marketing and communications teams, and other university offices such as the President’s office and campus service departments. Specific responsibilities include leading key events like the DeNardo Lecture, Sinatra Visiting Artist events, and Grand Reunion programs, managing budgets, and overseeing student ambassador programs to support event execution. The role requires adaptability, as it may occasionally involve evening and weekend work to support event needs.

Moreover, this position fulfills a critical interface function between the College and University Relations, ensuring that donor engagement efforts are integrated seamlessly with the college's mission and strategic goals. The Program Manager will facilitate gift tracking, foster donor relationships, and support proposal development for fundraising activities. Additionally, the position contributes to marketing and communication strategies by drafting donor correspondence and supporting fundraising campaigns, thereby enhancing the college's visibility and relationship with its external constituents.

The ideal candidate for this position will bring strong organizational, interpersonal, and communication skills, complemented by a keen understanding of event planning and budget management. A bachelor's degree with up to three years of administrative experience, preferably in a higher education setting, is required. Knowledge of Jesuit education principles and familiarity with relevant software platforms such as Google Suite, Microsoft Office, Workday, and CLARA is beneficial. Job Duties

  • Manage, plan and execute high profile special events designed to build relationships with alumni, donors, experts, and potential supporters and donors
  • Collaborate and staff on student-facing and Dean's office events such as Welcome Weekend, Open House, Family Weekend, Preview Day, Convocation, and guest speaker or artist events
  • Direct and manage new programs or events in support of the College's Strategic Plan
  • Monitor and work within programming and event budgets
  • Maintain a database on faculty Convocation and university award winners
  • Coordinate, recruit, train, supervise and deploy student ambassadors for College and university events
  • Coordinate with faculty committees and manage lecture and fellowship programs including the DeNardo Lecture and Sinatra Visiting Artist events
  • Serve as liaison to Alumni Office and Development Office to support College fundraising and community relations
  • Draft annual and periodic reports for funders and donors
  • Track gifts and donations using CLARA and maintain Master Tracker Google sheet
  • Collaborate with marketing and communications teams to promote events and fundraising initiatives
  • Draft internal and external donor correspondence
  • Develop proposals and letters of inquiry in collaboration with University Relations partners
  • Attend evening and weekend events as required
