Job Description

The Maricopa County Community College District (MCCCD) is one of the largest community college systems in the United States, comprising 10 individually accredited colleges and 31 satellite locations across the Valley of Arizona. The Program Coordinator position within MCCCD plays a pivotal role in overseeing the college's catering program. This is a grant-funded assignment with a projected end date of June 30, 2027, with renewal subject to available funds and the needs of MCCCD. The work schedule is primarily Monday through Friday from 6 a.m. to 2:30 p.m., with some evenings and weekends required. Summer hours shift to Monday through Thursday, 6 a.m. to 4:30 p.m., including some Saturdays, with a 100% in-person work requirement. The hourly pay range for this role is $22.06 to $28.67, depending on experience.

In this role, the Program Coordinator will manage the full event booking process for the catering program, coordinating with both internal departments and external clients. This includes preparing banquet event orders, assisting with workflows, documentation, approvals, and invoicing. The coordinator also supervises and supports catering assistants, ensures events run smoothly from setup to breakdown, and manages related invoicing and accounts receivable tasks. The role requires strong organizational skills, customer service orientation, and the ability to communicate effectively with various stakeholders. The coordinator will also assist with event room setups and fleet vehicle reservations as needed.

MCCCD seeks candidates with at least a bachelor’s degree in education, business, public administration, or a related field, coupled with experience in research and data analysis. Candidates with experience in catering, hospitality, or food service, knowledge of health and safety guidelines, and proficiency with Microsoft Office and event booking software will find this role rewarding. Job Requirements

  • Bachelor's degree from a regionally accredited institution in education, business or public administration, or a directly related field
  • One year of experience in researching information, gathering data, performing preliminary analysis and preparing reports
  • Or an equivalent combination of education and directly related full-time work experience
  • Must have a current Maricopa County Food Handler's Card or the ability to obtain one
  • Possession of a valid State of Arizona Class D Driver's License
  • Ability to meet district minimum standards regarding driving
  • Willingness to work some evenings and weekends
  • Ability to lift or carry up to 25 lbs
  • Ability to travel to all MCCCD locations
  • Ability to work 100% in-person according to event schedule

Job Qualifications

  • Bachelor's degree from a regionally accredited institution in education, business or public administration, or a directly related field
  • Experience in researching information, gathering data, performing preliminary analysis and preparing reports
  • Two or more years' experience in catering, hospitality or food service
  • Knowledge of health and safety guidelines related to catered events
  • Strong written and verbal communication skills
  • Effective use of Microsoft Office and catering/event booking software
  • Flexibility to work Saturdays and evenings as scheduled events dictate
  • One year of full-time relevant MCCCD experience during the previous two years

Job Duties

  • Manage auxiliary services related event bookings with main focus on catering events, including preparing and distributing banquet event orders (BEO's)
  • Assist with setup, service, and breakdown of catering events
  • Generate and distribute invoices and track accounts receivable
  • Schedule and manage catering staff for events and assist with event services staff
  • Assist with event room set-ups and fleet vehicle reservations
  • Perform other duties as assigned
