The Program Coordinator I - Events position within the Graduate and Professional School is a staff role based in College Station, Texas, with a proposed minimum salary of $4,166 per month ($49,992 annually, based on qualifications). This role focuses primarily on planning, coordinating, and executing major graduate student events and recruitment initiatives that are essential to enhancing student engagement and experience. Key signature events this role supports include Graduate Commencement, New Graduate Student Orientation, and the Graduate Awards Ceremony. The successful candidate will be highly organized and detail-oriented, with responsibilities spanning event logistics, communication management, stakeholder collaboration, and outreach program support. The role requires the ability to work independently and collaboratively, occasionally during evenings and weekends, and includes some travel to represent the Graduate and Professional School at recruitment events both in-state and out-of-state.

This position also plays a crucial part in recruitment outreach by implementing initiatives to engage prospective students through fairs, presentations, and information sessions. The coordinator supports communication scheduling through CRM platforms, ensures timely follow-up with prospective and admitted students, and helps maintain updated recruitment resources. Additionally, the role assists with operational support, administrative tasks, purchasing processes, and data tracking to evaluate program impacts effectively. Ideal candidates will have a bachelor's degree or equivalent experience and at least two years of related experience. Preferred qualifications include familiarity with Texas A&M systems such as Compass, Howdy, and DPSS, customer service experience, and prior work with graduate students or in higher education settings.

Job Requirements

  • Ability to travel and represent the Graduate and Professional School at recruitment events, conferences, and outreach initiatives (both in-state and out-of-state)
  • Ability to work occasional evenings or weekends during major recruitment cycles and events
  • Required to assist with coordination efforts of university commencement operations including supporting planning activities and attending graduate ceremonies
  • Must be able to arrive to work on time and regularly
  • Must be punctual, dependable, and able to work independently
  • Must be able to work occasional weekends and evenings including participation in university commencement ceremonies

Job Qualifications

  • Bachelors degree or equivalent combination of education and experience
  • Two years of related experience
  • Knowledge of word processing, spreadsheet, and database applications
  • Strong verbal and written communication skills
  • Ability to organize and coordinate multiple projects simultaneously

Job Duties

  • Supports implementation of graduate recruitment initiatives
  • Assists with coordinating and executing graduate recruitment outreach activities
  • Represents the Graduate and Professional School at recruitment events and conferences
  • Provides timely follow-up communication to prospective and admitted students
  • Assists in developing and maintaining recruitment presentations and materials
  • Coordinates logistics for recruitment-related programs and outreach events
  • Supports relationship-building efforts with campus partners and academic departments involved in recruitment initiatives
  • Coordinates logistics and operational planning for major Graduate and Professional School events and student engagement initiatives
  • Assists with planning and implementing major graduate student events including orientation, commencement, and milestone celebrations
  • Coordinates event logistics including venue reservations, vendor communication, catering coordination, and event materials
  • Supports development of event timelines and communications
  • Assists with event execution and on-site coordination
  • Collects and tracks event participation data
  • Supports communication and engagement efforts with prospective and admitted graduate students
  • Assists with scheduling recruitment communications through CRM platforms
  • Maintains communication schedules and outreach workflows
  • Responds to prospective student inquiries
  • Provides operational and administrative support for recruitment and engagement initiatives
  • Maintains records and program tracking systems related to recruitment activities
  • Supports purchasing and administrative processes for events
