The Program Coordinator role at APCA is an essential administrative and organizational position that supports the Health Center Operations and Quality department as well as the Government and External Affairs department. In this position, the Program Coordinator will be entrusted with a variety of responsibilities including maintaining and reconciling contracts and billing agreements related to community health center projects, managing departmental purchases and invoices, coordinating event planning, supporting committee work, and executing special projects. Additionally, the role requires tracking expenses and fee-for-service agreements to ensure timely payments and maintaining accurate documentation such as attendance records, meeting notes, and professional-quality materials like flyers and event agendas.
The Program Coordinator plays a critical role in facilitating smooth communication and operations within the organization by serving as a logistics point of contact for departments, assisting with travel arrangements for staff and consultants, managing external communication requests, and supporting webinars and live sessions with scheduling, recording, note-taking, and follow-up activities.

Job Requirements
- Associates degree
- Two years of related office experience
- Access to reliable, insured private transportation
- Valid Alaska driver's license
- Fluency in written and spoken English
- Superior written and oral communication skills
- Ability to travel in-city and in-state as needed
- Ability to perform physical tasks including sitting and operating office equipment
- Ability to work a full-time schedule of 40 hours per week
- Ability to collaborate with multiple departments and stakeholders
Job Qualifications
- Associates degree or relevant experience may be substituted for educational requirements
- Two years of related office experience
- Access to reliable, insurance private transportation
- Valid Alaska driver's license
- Bachelor's degree in applicable field preferred
- Three or more years of experience in related field preferred
- High proficiency in all Microsoft Office and Windows products
- Strong technical writing skills
- Problem-solving abilities
Job Duties
- Maintains and reconciles contracts and billing agreements related to Community Health Center projects and activities
- Executes departments' purchases and invoices and maintains appropriate account coding for purchasing
- Supports departments' procurement needs
- Collaborates with team members to support annual trainings, event planning and project execution
- Tracks fee for service agreements and follows-up regarding payments
- Ensures updates to survey completion and requests for information
- Captures attendance records and meeting notes/minutes in meetings and events
- Creates professional-quality materials such as flyers, agendas, and promotional content for events, collaboratives, and product demonstrations
- coordinates with APCA Communications to ensure timely posting and sharing of materials
- Supports staff in various webinars and live sessions with scheduling, recording, note taking, polls, and follow-up after presentations
- Serves as the primary logistics point of contact for the departments
- Assists departments' staff in collecting information and documents from health centers
- Coordinates and finalizes departments' staff travel arrangements. Manages travel arrangements for consultants and presenters as needed
- Manage external requests by triaging Contact form requests and directing to appropriate department staff members
- Supports event planning, including assisting with vendor coordination, venue logistics, AV, room arrangement, participant registration, event day materials and greeting guests
- Assists communications staff with tasks, as needed
- Coordinates special projects, as assigned
- Provides excellent customer service and support to all APCA members and partners
- Performs a variety of work errands, as assigned
