Job Description

The Japan Society of Northern California (JSNC) is a renowned nonprofit organization dedicated to fostering a deeper understanding and stronger relationships between the United States and Japan. As a part-time Program & Administrative Coordinator at JSNC, you will play a pivotal role in supporting the dynamic programming and operational needs of this prestigious organization. This position, reporting directly to the Chief Operating Officer (COO), offers significant exposure to the inner workings of a nonprofit organization with a specialized focus on international relations and cultural exchange. Working closely with the President and Program Manager, you will assist in coordinating and executing both in-person and virtual events, ensuring seamless experiences for speakers, sponsors, and attendees alike.

The Program & Administrative Coordinator is responsible for managing a variety of event-related tasks including registrations, communications, and onsite or virtual support. Beyond event coordination, this role involves key administrative functions such as maintaining organized records, managing calendars, and supporting daily office operations. You will also engage with technology tools like Google Workspace and Salesforce CRM, helping to maintain the organization's database and streamline membership management.

Additionally, the role includes assisting with financial operations such as basic bookkeeping, accounts payable and receivable, and coordinating with accounting partners to ensure fiscal accuracy. This comprehensive support allows the Coordinator to develop a well-rounded skill set encompassing event management, administrative efficiency, financial oversight, and member relations.

Ideal candidates are highly organized, detail-oriented, and adept at managing multiple priorities in a fast-paced environment. Excellent communication skills, both written and verbal, are essential to effectively liaise with diverse stakeholders and support promotional activities including email campaigns and website updates. Job Requirements

  • Experience with event coordination, administration, or nonprofit work
  • Basic knowledge of bookkeeping or CRM systems
  • Familiarity with tools such as Salesforce, Mailchimp, WordPress, Eventbrite, Canva, Zoom
  • Japanese language skills are a plus
  • Ability to work 20 hours per week
  • High school diploma or equivalent
  • Strong interpersonal skills
