The Production Coordinator plays a vital role within the Production Department by coordinating internal and external projects with efficiency and precision. Reporting to the Senior Director of Program Production, this role is integral to managing logistical and administrative tasks that support the success of production operations. The Production Coordinator assists in scheduling staffing and resources, supports the show team with kickoff and tie-down meetings, and manages project documentation through electronic show folders and project management tools. This position also involves travel coordination for event crews and occasional on-site support at event locations.

Key responsibilities include tracking project milestones and deadlines, overseeing purchase orders, managing vendor relationships, and collaborating closely with Producers and Production Managers to ensure seamless event logistics. Post-event duties such as finalizing timesheets, completing post-show reports, and processing expense reports are also essential components of this role. The ideal candidate will have a bachelor’s degree or equivalent experience, at least two years in production or show experience, and strong communication and organizational skills.

This role offers an hourly pay range of $24.98 to $32.48, with compensation based on location, experience, travel demands, and specific skill sets. Opportunities for overtime, bonuses, or incentives may be available. Job Duties

  • Assist in scheduling and coordination of staffing and resources
  • Assist in timesheet completion and tracking project related hours
  • Partner with Producers and Production Managers on event logistics
  • Support the show team with kick-off and tie-down meetings, scheduling client and show team calls
  • Create and maintain electronic show folders and channels from each project’s inception, file past show folders and maintain directory
  • Travel coordination for show crews
  • Track tasks, milestones, and deadlines within the project management tool
  • Assist in collection and organization of show related content including graphic, video, and photo files
  • Provide occasional travel and show-site support as needed
  • Back up traveling shows management team members when out of office
  • Open and process Purchase Orders
  • Define and set up new vendors and part-timers
  • Attend pre and post show meetings for job sign off
  • Finalization of timesheets and tracking project related hours post-event
  • Assist in completion of post-show reports
  • Assist in completion and verification of deliverables, media, etc.
  • Completion of expense reports and finalizing job related expenses
  • Perform other duties as assigned
