The position of Private Events Support Assistant is a non-exempt, hourly role within the Event Sales Department that offers a base pay of $26 per hour. Reporting directly to the Event Sales Manager and Event Sales Director, this role is crucial in ensuring seamless event operations from behind the scenes. Unlike client-facing roles, this position is internal-facing and focuses on delivering day-of-event operational support to Event Leads and Sales Managers. The primary responsibility involves managing and executing critical tasks that guarantee events run smoothly and the event spaces remain guest-ready. This includes tasks such as setting up signage, cleaning and preparing event spaces, distributing equipment, and managing vendor support logistics. The Private Events Support Assistant is an essential team member who fills operational gaps, enabling the broader event team to deliver outstanding experiences to guests and clients alike.

Flexibility and responsiveness are key traits required for this role, as the individual must be prepared to adapt to fast-paced and dynamic event environments. They will conduct thorough walkthroughs to identify and rectify any issues prior to event commencement, coordinate with vendors and team members, and manage last-minute adjustments efficiently. The role demands a hands-on approach encompassing various physical tasks such as vacuuming, cleaning, lifting, and reconfiguring furniture to meet the event’s needs. The support assistant also acts as a crucial communication link, relaying information between Event Leads and vendors, and ensuring equipment and materials are properly collected and stored post-event. This role is ideal for candidates who enjoy being part of a collaborative team, have attention to detail, and can operate efficiently under minimal supervision in a lively hospitality environment.

Job Requirements

  • High school diploma or equivalent
  • Prior experience in events or hospitality preferred
  • Ability to stand for extended periods
  • Ability to perform light to moderate physical tasks
  • Flexible schedule including availability on evenings, weekends, and holidays
  • Strong communication skills
  • Ability to work independently and as part of a team
  • Reliable transportation to and from the venue

Job Qualifications

  • Prior experience in events, hospitality, or a support role preferred but not required
  • Ability to take direction well and work efficiently without close supervision
  • Strong attention to detail - notices what's out of place and fixes it
  • Reliable, punctual, and professional in appearance
  • Comfortable working in a fast-paced environment and pivoting quickly
  • Ability to be on your feet for extended periods and perform light physical tasks
  • Ability to lift and move chairs and tables as needed - occasional light to moderate lifting may be required
  • Flexible availability including evenings, weekends, and holidays
  • Team-oriented with a low-ego, get-it-done attitude

Job Duties

  • Conduct a walkthrough of all event spaces after vendor load-in and address any areas that need attention before doors open
  • Turn on lights and confirm correct scenes or presets are set per the Event Lead's direction
  • Confirm HVAC is on and functioning
  • alert the Event Lead if there are any issues
  • Wipe down tables, chairs, and surfaces after vendor load-in
  • Vacuum or spot clean as needed to ensure spaces are guest-ready
  • Place event signage, table numbers, menus, and printed materials in designated locations
  • Remove and store all signage and materials at the end of the event
  • Restock restrooms or common areas as needed prior to event start
  • Greet venue-hired vendors and direct them to the appropriate areas as instructed
  • Distribute venue equipment to vendors as needed - walkies, cords, or other supplies
  • Act as a runner between the Event Lead and on-site vendors to relay information or deliver items
  • Assist with last-minute table and chair reconfigurations as directed
  • Provide directional assistance for event parking on an as-needed basis
  • Stay available throughout the event to fill gaps and handle any tasks assigned by the Event Lead
  • Collect and store venue equipment and materials at the conclusion of the event
  • Report any issues, damage, or leftover items to the Event Lead before departing
