The Private Events Planner at The Gathering Spot plays a pivotal role in the success of all private events hosted at the venue. This professional serves as the lead coordinator, liaising directly with clients to ensure every aspect of event planning and execution meets the highest standards. The role demands excellent communication skills, a positive and proactive attitude, and exceptional organizational abilities. The Private Events Planner is responsible for coordinating all logistics related to conferences, meetings, and special events, including venue tours, vendor coordination, and day-of-event management. This position requires both interpersonal skills to engage effectively with clients and internal teams and technical skills to manage bookings and monitor event expenses using the club's management system, Northstar.
Beyond just logistical planning, the Private Events Planner acts as the primary point of contact for clients from the initial consultation through to the event's conclusion. This includes conducting pre-event site visits, managing client communications via phone, email, and in-person meetings, and overseeing the smooth implementation of each event. Additionally, the planner is cross-trained to sell and book conference rooms and private events, contributing to the club’s revenue goals. Attention to detail is critical, as the role entails tracking event expenses and sometimes overseeing billing and payment processes. Flexibility and adaptability are essential attributes, as the planner must manage multiple client expectations and be prepared to work unconventional hours, including late nights, early mornings, weekends, and holidays. Job Requirements
- A high school diploma and four years of experience in planning, coordinating and conducting special events, or a Bachelor's degree preferred
- Sales experience preferred but not required
- Proficient in Microsoft Office applications and word processing, spreadsheets, database, presentation, internet software
- Experience in PR, events, convention services strongly preferred
- Excellent interpersonal, verbal and written communication skills
- Ability to communicate effectively at all levels both internally and externally
- Able to demonstrate flexibility and quickly adapt to changes while maintaining high levels of productivity and effectiveness under pressure
- Able to work indoors and outdoors, lift and perform long periods of walking and standing for extended periods of time
- Able to balance internal priorities with client expectations
- Able to work late nights, early mornings, weekends and holidays
Job Qualifications
- High school diploma
- Four years of experience in planning, coordinating and conducting special events
- Bachelor’s degree preferred

Job Duties
- Coordinates the logistics necessary to plan and execute conferences, meetings, and various types of special events
- Interfaces with clients to plan events, and oversees their implementation
- Conducts pre-event site/venue tours with potential clients
- Acts as a primary day-of-event representative to the client before, during, and after event
- Liaise with internal departments, outside vendors and any additional parties to ensure the success of the event
- Cross trained to sell and book conference rooms and private events through the club's management system, Northstar
- Tracks and monitors event expenses
- may oversee event billing and payment processes
- Performs other related responsibilities as required
