This position offered is the Practice Supervisor within the Administration Department at Variety Care, designed as an exempt role with a direct reporting relationship to the Administrator, Clinical Site. The Practice Supervisor plays a pivotal leadership role in managing and supervising support staff at the health center, ensuring that administrative functions align with the organization’s commitments to the Patient First Experience and overall quality improvement. Responsibilities extend beyond routine supervision to include program development, policy implementation, process optimization, and staff education.

The Clinical Site Supervisor monitors the day-to-day operational activities, including patient scheduling, staff workflow, and inventory management, while maintaining effective communication channels among providers, support staff, and the administration. A key focus of this role is to facilitate continuous enhancement of patient care quality and patient/staff satisfaction through proactive problem-solving, coaching, and performance tracking. The Practice Supervisor also serves as the first point of contact for patient concerns and helps manage compliance with safety and regulatory standards.

This role demands the balancing of rigorous clinical site standards with empathy and strong interpersonal skills. The Practice Supervisor also supports Variety Care’s accreditation as a Patient-Centered Medical Home and contributes to achieving the goals of healthcare reform by improving care experience, health outcomes, and reducing costs.

The position requires an individual who can perform essential functions such as lifting, patient assistance, and extended periods of mobility, while also handling confidential information with integrity. Job Duties

  • Maintains open communication with providers and support staff to troubleshoot situations
  • Schedules daily meetings with support staff for updates and ensures follow-through
  • Incorporates and promotes the Patient First Experience across all service lines
  • Creates action plans, coaches, and implements performance improvement workflows
  • Coordinates work schedules, patient appointment templates, and arranges coverage for absences
  • Conducts rounds to build relationships and respond to needs
  • Monitors clinic inboxes and ensures timely completion
  • Reviews and finalizes timecards in accordance with policy
  • Hires, trains, supervises, evaluates, and disciplines personnel
  • Contributes as a meeting leader and facilitates monthly meetings
  • Investigates patient concerns as first point of contact
  • Oversees EHR training and staff development
  • Manages inventories and ordering of medical, dental, and pharmacy supplies
  • Audits clinic operations for equipment and compliance
  • Oversees front and back-office procedures and end of day collections
  • Corrects patient insurance claims and sets up payment arrangements
  • Directs functional operations of the department
  • Fosters quality service atmosphere
  • Troubleshoots work-related issues and provides staff back-up
  • Supports accreditation and healthcare reform goals
  • Maintains confidentiality
  • Performs other duties as assigned
