This position offers a competitive hourly salary range of $29.68 to $42.48, subject to UCSF policy and approvals, with placement dependent on experience and internal equity within the position classification. The role is based on-site at the Parnassus Heights campus in San Francisco and requires full-time commitment, Monday through Friday, from 8 AM to 5 PM.

The Practice Coordinator II at UCSF’s Dental Center plays a vital administrative role within the Oral Medicine Clinic. Reporting under direct supervision and adhering to UCSF Dental Center procedures, the coordinator supports operations by managing patient appointments, insurance verification, pre-authorizations, treatment plan coordination, as well as billing and collections in cooperation with the Patient Billing Services team. This position serves as the direct liaison between patients and the healthcare providers across various clinic services, ensuring smooth patient experiences and efficient administrative processes.

The coordinator acts as a key member of the administrative team, capable of adapting to multiple roles including front desk duties, scheduling, and billing management. Their work requires professional, courteous interactions with patients, staff, and providers alike, demonstrating strong customer service skills and effective communication. The role demands the ability to juggle multiple priorities, analyze and resolve administrative challenges, and maintain organizational efficiency. Flexibility is essential as the coordinator may work at different clinic locations, including potential evening or weekend shifts, and may occasionally support other Dental Center clinics.

This position also emphasizes sensitivity when engaging with ill patients and demands a high level of discretion and professionalism. The Practice Coordinator II must be proficient with Microsoft Office tools and possess strong writing skills to compose, edit, and proof documents related to clinic operations. Job Requirements

  • High school graduate or equivalent
  • Four years related experience or college degree with six months related experience
  • Experience with appointment scheduling
  • Strong knowledge in medical insurance billing and pre-authorization
  • Ability to analyze, prioritize, and solve problems
  • Ability to work independently
  • Good judgment under deadlines
  • Excellent customer service and interpersonal skills
  • Ability to sit at computer for extended periods
  • Basic math skills
  • Strong computer skills including keyboarding and MS Office proficiency
  • Ability to deal sensitively with ill patients
  • Excellent organizational skills
  • Strong writing abilities

Job Qualifications

  • High school graduate or equivalent with 4 years related experience
  • College degree with 6 months related experience or equivalent combination of education and experience with appointment scheduling
  • Strong knowledge of medical insurance billing including eligibility verification and pre-authorization processes
  • Excellent customer service and communication skills both over the phone and in person
  • Ability to analyze situations, prioritize tasks, and develop solutions
  • Proficient with Microsoft Word and Excel
  • Good organizational and problem-solving skills
  • Strong writing skills to compose, edit, and proof documents
  • Demonstrated administrative and office coordination skills
  • Ability to work independently under pressure

Job Duties

  • Manage patient appointments for the Oral Medicine Clinic
  • Verify insurance eligibility and request pre-authorizations
  • Coordinate treatment plans and collaborate with Patient Billing Services on billing and collections

  • Perform front desk and scheduling duties
