The Emergency Medicine Practice Administrator position located in Suffern, New York, plays a crucial operational role supporting the medical directors, site management teams, healthcare providers, and other staff members. The practice administrator acts as the central liaison between the provider team and hospital leadership, nursing departments, community partners, and Vituity’s internal support networks. They provide critical executive support for site operations and contract management while overseeing office administration, financial tracking, compliance, and personnel management. This role specifically supports the Emergency Department at Good Samaritan Hospital, a 286-bed facility featuring a 58-bed emergency department and recognized as a Level III Trauma Center. The hospital is known for its stroke and cardiovascular programs, cancer center, bariatric services, and extensive inpatient and outpatient care offerings.

As part of the operational leadership, the Practice Administrator ensures excellent coordination of clinical schedules, patient census, and multi-disciplinary rounds to maintain seamless patient care delivery. They serve as a super user for Vituity software applications and coordinate technology use within the hospital systems. The administrator also manages recruiting, onboarding, credentialing, and compliance for clinicians and staff to meet regulatory and hospital standards. Continuous improvement efforts fall within their responsibilities, including quality and performance programs, patient experience initiatives, and staff education events. Additionally, they facilitate key financial functions such as payroll, reimbursements, contract stipends, billing coordination, and data analysis.

Job Requirements

  • two to three years of experience in an office or healthcare setting required
  • associate or bachelor’s degree in business administration, human resources or related field strongly preferred

Job Duties

  • Act as the operational administrator for the site Vituity leadership and as the interface for the practice to the hospital and community
  • act as the front-line liaison for the provider team with hospital C-suite, nursing leadership, nursing staff, and Vituity support team
  • provide executive support to the site medical director and site management team to meet contract expectations
  • provide support for all site financials to include contract stipends, expense reimbursements, and site payroll timecards
  • act as the super user for all Vituity software applications and as a point person for hospital software and hardware systems
  • provide office management including meeting management, office systems, supplies, site events, and customer service
  • facilitate all aspects of the daily patient census and attend daily multi-disciplinary rounds
  • manage all aspects of the site clinical schedules to ensure adequate coverage with no disruption to patient care
  • collect, track, and analyze all site financial and operational data
  • project management of site operational programs including operations meetings, patient experience program, quality and performance improvement program, advanced provider and/or scribe programs, and student or resident rotations
  • ensure recruiting and onboarding for new providers, locums, reservists, residents, and students
  • ensure timely recredentialing of all licensed providers
  • maintain compliance with Vituity and hospital programs and mandated training
  • act as the point person for all Vituity People Operations (Human Resources) relations
  • develop and maintain site orientation checklists and manuals
  • collaborate with medical director and site management team to develop and maintain site practice policies and procedures
  • manage medical records and data submission to Revenue Cycle Management
  • ensure billing and documentation compliance
  • complete mandated forms and requests such as death certificates, worker's compensation, and pharmacy requests
