Job Requirements
- Graduation from high school or equivalent
- Minimum of two years administrative, secretarial, or switchboard experience
- Valid Florida driver's license with satisfactory driving history
- Successful completion of polygraph examination
- Passing extensive background screening
- Ability to work part-time
- Proficiency in telephone switchboard operation
- Strong interpersonal and communication skills
- Ability to use office equipment including computers
Job Qualifications
- Graduation from high school or equivalent
- Minimum of two years of administrative, secretarial, or switchboard experience
- Experience in municipal government and delivering exceptional customer service is highly desirable
- Knowledge of telephone etiquette techniques and effective interpersonal skills
- Proficiency in operating various office equipment including personal computers
- Ability to compose letters, memos, and related documents
- Skill in using a multi-line switchboard
- Strong English spelling and grammar
- Ability to prioritize work and maintain effective working relationships
- Effective verbal and written communication skills
- Ability to handle confrontational persons professionally
Job Duties
- Greet visitors and direct them to the appropriate staff or department
- Handle a high volume of inbound and outbound calls via a multi-line switchboard
- Provide callers with information, relay messages, and announce visitors and calls
- Retrieve and distribute messages from the general voicemail
- Perform general record-keeping duties
- Assist with check-in procedures within the Chief's office
- Operate manual and electronic mailing equipment for city-related business
- Sort, date-stamp, and distribute incoming and outgoing mail
- Accept, log, and distribute special delivery mail, notifying recipients
- Direct servers of subpoenas to appropriate staff
- Retrieve faxes and place them in intended recipient's mailbox
- Notify recipients of received faxes
- Monitor and order office supplies as needed
- Maintain copier and generate service requests
- Assist with overflow tasks from administrative and executive assistants
- Perform other related duties as required
