Job Requirements

  • Strong project management skills with demonstrated experience managing complex events, budgets, and internal/external stakeholders
  • proven ability to lead event execution with ownership and accountability
  • creative, strategic thinker capable of translating business goals into impactful event experiences
  • strong negotiation and vendor management skills
  • excellent communication and relationship-building with internal and external stakeholders
  • highly organized with exceptional attention to detail and ability to manage competing priorities
  • solutions-oriented and able to remain calm and effective under pressure
  • proficient in event technology platforms such as Cvent
  • positive, collaborative team player with a strong customer focus
  • ability to travel up to 25-30 percent

Job Qualifications

  • 4+ years of experience planning and executing conferences and events with moderate guidance
  • working knowledge of budget tracking and vendor coordination including exposure to contract review and cost management
  • proficiency in Microsoft Office (Excel, Word, Outlook) and event platforms (Cvent, Salesforce)
  • strong organizational, communication, and problem-solving skills with a proactive, team-oriented approach
  • experience managing multiple programs simultaneously and coordinating effectively across internal stakeholders and external partners
  • CMP certification and financial services experience a plus

Job Duties

  • Leading end-to-end planning and execution of conferences and events from concept through onsite delivery and post-event evaluation
  • designing and delivering creative, high-impact experiences that align with business objectives and elevate the Commonwealth brand
  • owning program timelines, budgets, and logistics ensuring all elements are executed within established financial and scheduling parameters
  • developing and managing comprehensive conference logistics including co-coordinating travel manifests, hotel accommodations, agenda development, and attendee experience strategy
  • researching, recommending, and securing venues, decor, restaurants, activities, and entertainment aligning selections with program goals and brand standards
  • leading vendor sourcing, negotiation, and management including audiovisual, transportation, DMC partners, venue partners
  • serving as the primary point of contact for advisors and key stakeholders delivering a high-touch, service-oriented experience and building lasting relationships
  • driving alignment with internal departments to ensure cohesive messaging and timely delivery of all program materials
  • overseeing event technology strategy and execution of registration and mobile app platforms along with business meeting AV production while identifying opportunities for process improvements and enhanced attendee engagement
  • evaluating program success and identifying opportunities for continuous improvement incorporating feedback and data into future planning
  • supporting, guiding, and mentoring junior team members
