The Physician & Engagement Event Coordinator at AngioDynamics plays a vital role in orchestrating smooth and compliant experiences for healthcare professionals involved in a wide range of company-supported medical activities. This full-time position involves meticulous planning, coordination, and management of physician travel alongside the logistics for medical education events, advisory boards, and clinical engagements. The Coordinator functions as a critical liaison between physicians and multiple internal departments—including Clinical and Medical Affairs, Marketing, Compliance, and Finance—to ensure alignment of event objectives with regulatory and policy requirements. Exceptional attention to detail, excellent communication abilities, and proficient multi-tasking in a fast-paced environment are essential for success in this role.

Additionally, the role demands compliance with federal and state transparency mandates such as the Sunshine Act and adherence to industry ethical guidelines, including the AdvaMed Code of Ethics. The Coordinator manages all associated documentation with integrity, ensuring accuracy for audit and reporting purposes and collaborating closely with Compliance teams to maintain alignment with fair market value (FMV) standards. Beyond logistics, this position involves providing top-tier customer service to physicians, efficiently handling travel and event inquiries, and supporting internal team projects. The Coordinator also utilizes sophisticated software platforms like Concur, Salesforce.com, and Microsoft Office to streamline scheduling, expense tracking, and detailed reporting. This role’s operational scope includes clinical navigator coordination and supporting continuous improvement initiatives following event completion. Job Requirements

  • Bachelor's level of degree in Business Administration Hospitality Management or related field of study
  • 3 years of demonstrated experience in event coordination travel management or healthcare industry logistics
  • Excellent organizational skills and attention to detail
  • Strong knowledge of compliance requirements for physician interactions including Sunshine Act AdvaMed and other related requirements
  • Proficiency in Microsoft Office and travel management platforms such as Concur
  • Exceptional interpersonal skills
  • Strong communication skills both written and verbal
  • Ability to effectively communicate both internally and externally
  • Ability to read and interpret documents such as safety rules operating and maintenance instructions and procedure manuals
  • Ability to write routine reports and correspondence

Job Qualifications

Job Duties

  • Coordinate travel arrangements for physicians attending company-sponsored events including flights accommodations ground transportation and itineraries
  • Manage event logistics such as venue selection catering audiovisual setup and onsite support for medical education programs advisory boards and conferences
  • Ensure compliance with Sunshine Act AdvaMed Code of Ethics and internal policies regarding physician interactions and expense reporting
  • Collaborate with internal teams including Clinical and Medical Affairs Marketing Compliance and Finance to align event objectives and budgets
  • Support internal teams with tasks administrative needs and projects as assigned
  • Maintain accurate records of physician engagement travel expenses and event documentation for audit and reporting purposes
  • Serve as primary point of contact for physicians regarding travel and event details providing exceptional customer service timely communication and support as required
