This full-time position of Personal and Executive Assistant to the CEO offers a unique opportunity to work closely with a dynamic and visionary leader. The role involves a blend of high-level executive support, technical coordination, event planning, and day-to-day administrative excellence. Candidates will provide proactive administrative and personal assistance directly to the CEO and founder of Smart IT Services. The role is based in Utica, MI, and offers a primarily in-person work environment with some hybrid flexibility, accommodating a balance between office presence and remote work.
As the CEO's right hand, the Personal and Executive Assistant will manage calendars, appointments, and business and personal errands with precision, ensuring the CEO’s day runs smoothly and efficiently. The role also requires coordinating internal and external meetings, events, and travel logistics, demonstrating superior organizational skills and attention to detail. Additionally, the assistant will take accurate meeting notes to facilitate effective follow-ups and task tracking. Essential to this position is expertise with Microsoft Office 365 tools—including Outlook, Teams, Word, Excel, and PowerPoint—and comfort with emerging AI tools to streamline workflows and boost productivity.
The assistant will act as the primary communicator with vendors, clients, and team members on behalf of the CEO while handling sensitive and confidential information with the utmost integrity and professionalism. This role requires a person who can collaborate well within the team yet manage tasks independently with minimal supervision. The capable assistant will support special projects, creatively solve problems, and help maintain the seamless operation of the CEO’s responsibilities. Job Requirements
- 3+ years of experience as an executive or personal assistant
- exceptional communication and organizational skills
- advanced proficiency with Microsoft Office 365
- comfort using AI and tech tools
- proven ability to multitask and prioritize
- resourceful and calm under pressure
- high level of discretion and loyalty
- ability to take initiative and solve problems
- bachelor’s degree in business or related field is a plus
- familiarity with EOS or similar operational systems is a bonus
