Job Requirements

  • Completion of a bachelor's degree preferred
  • Two to five years of related event planning experience depending on level
  • Experience in vendor management and contract negotiation
  • Excellent communication and interpersonal abilities
  • Strong organizational and multitasking skills
  • Ability to work flexible hours including nights weekends and holidays
  • Physical stamina for extended standing and lifting up to 40 pounds
  • Proficiency in Microsoft Office Suite and event management software
  • Legal authorization to work in the United States
  • Residency in Arizona for hybrid work eligibility

Job Qualifications

  • Bachelor's degree in hospitality management event planning or related field preferred
  • Strong organizational and multitasking skills with attention to detail
  • Excellent communication and interpersonal skills
  • Experience working cross functionally in mid to large organizations
  • Passion for creating memorable events and client-focused environments
  • Ability to work under pressure and adapt to changing priorities
  • Advanced proficiency in Microsoft Office and experience with EventPro
  • Flexible schedule including availability for evenings weekends and holidays
  • Physical ability to stand walk for extended periods and lift carry up to 40 lbs

Job Duties

  • Develop detailed event plans including timelines layouts and technical specifications
  • Coordinate with internal departments and external vendors to ensure meticulous event execution
  • Source and negotiate contracts with vendors such as rentals decorators florists and entertainers
  • Oversee event logistics including equipment rentals transportation signage and guest accommodations
  • Serve as the main point of contact during events managing setup vendor coordination and issue resolution
  • Meet with clients to understand event requirements and provide expert guidance
  • Manage venue bookings and collaborate with staff to schedule setups catering and audiovisual needs
  • Maintain regular client communication providing updates addressing concerns and ensuring satisfaction
  • Manage event budgets track expenses and negotiate pricing to maximize value
