Job Requirements

  • high school diploma or equivalent
  • six months experience in payroll, insurance and/or clerical position
  • knowledge of universal precautions and isolation procedures
  • ability to maintain confidentiality
  • strong communication and organizational skills
  • proficiency in operating office machines and computer applications
  • knowledge of compliance with state and federal laws and regulations

Job Qualifications

  • six months experience in payroll, insurance and/or clerical position
  • completed courses in payroll, bookkeeping, office procedures or related subjects preferred
  • two years of experience in payroll, insurance and/or clerical position preferred
  • knowledge of universal precautions and isolation procedures
  • ability to maintain confidentiality
  • strong communication and organizational skills
  • proficiency in operating office machines and computer applications
  • knowledge of compliance with state and federal laws and regulations
  • effective problem-solving skills
  • ability to multitask and work under pressure

Job Duties

  • create and maintain an atmosphere of warmth, interest, and optimism in the needs of residents, families, visitors, and staff
  • develop, encourage, and maintain good communication between and among departments, residents, staff, visitors
  • answer all job reference requests according to company policies and procedures
  • assist in reporting and resolving complaints and grievances from residents, families, visitors, and partners
  • balance payroll account upon receipt of monthly bank statement
  • complete all reports per deadlines as required by the corporate office
  • complete and track all employee data changes and forward to corporate office with payroll
  • complete and track employee deductions and enter in payroll
  • complete employee payroll according to corporate procedures
  • complete master file forms for all new partners and forward to corporate office with payroll
  • complete wage requests when accompanied by signed release from employee or former partners
  • comply with established universal precautions and isolation procedures
  • cover receptionist duties when needed
  • ensure proper filing and handling of all information in employee personnel and information files
  • enter new partners into automated time clock
  • follow all company policies and procedures, state and federal laws and regulations and report violations to the appropriate supervisor
  • input all bills in house every Friday on accounts payable template
  • process applications and pre-employment documents
  • keep supervisor informed of daily activities and issues
  • propose solutions to issues
  • maintain attendance, PTO schedules and records employee earning notice, counseling and other disciplinary action
  • maintain complete files on all partners including personnel information, physicals, evaluations, immunization, licensure, certification
  • maintain confidentiality of all information in accordance with the privacy act and company policies
  • maintain privacy of records, conditions and other information relating to residents, partners and facility
  • maintain rehire eligibility status files on former partners
  • make copies of all bills on input sheet and overnight the template form along with original bill to corporate
  • make necessary corrections or adjustments to employee time cards upon verification by authorized supervisor
  • ensure all vendors are sent to contracting for approval along with sanction check and W-9 form
  • ensure drug test is performed prior to hire and PPD skin test is done with negative result prior to hire
  • ensure licenses and certifications are current and unrestricted prior to hire and per renewal regulations
  • monitor workers compensation claims and coordinate work between employee and insurance carrier
  • operate copier, office machines, computer and word processor as directed
  • print, prepare and distribute timecards and payroll checks
  • process, record and track family medical leave on partners
  • record and track PTO requests on all partners
  • schedule orientation, assemble orientation packets and personnel file, lead four-day orientation process, order uniforms and get pictures for name badges
  • research vendor calls
  • prepare and mail separation notices and termination process timely
  • review monthly statements from vendors to ensure timely invoice payments
  • complete audit of all bills dated for month still in house on last Friday of each month
  • verify all timecards and sign sheets for accuracy in preparation for payroll
  • make sure all orientation papers are signed, dated and placed in personnel file
  • ensure daily census and nursing hours are done and sent to corporate by 11:00 daily
  • participate in counseling and termination meetings
