Job Description
The Willamette Valley Cancer Institute and Research Center (WVCI) is a leading oncology practice located in Eugene, Oregon. WVCI is currently seeking a full-time Patient Services Coordinator to join the gynecologic oncology team. This role is instrumental in ensuring smooth and efficient patient registration and scheduling processes. The Patient Services Coordinator acts as the primary point of contact for patients, providing excellent customer service by answering and screening incoming calls, directing inquiries to appropriate clinical personnel, and facilitating communication between patients and medical staff. Key responsibilities include managing patient paperwork, updating demographic and insurance information, collecting co-pays, and maintaining accurate patient records. The role requires coordination of surgery scheduling and care with local hospitals and surgery centers, adherence to appointment scheduling guidelines, and timely communication regarding cancellations or missed appointments.

Job Requirements

Job Duties
- Provide and explain paperwork for patients to complete prior to examination
- Collect, proof for completeness, and file patient forms
- Update demographics and insurance information in the system
- Collect co-pays and balances, provide receipts
- Answer, screen, and respond to routine questions, route to appropriate personnel, or take thorough messages
- Page clinic personnel as appropriate
- Communicate messages accurately and timely according to procedures
- Coordinate surgery scheduling and care with local hospitals and surgery centers
- Schedule returning appointments in accordance with physician and office guidelines
- Provide patients with appointment details such as time, location, directions, and instruction sheets
- Record patient cancellations and missed appointments
- Reschedule appointments and notify appropriate staff
- Adhere to confidentiality, state, federal, and HIPAA laws and guidelines regarding patient records
- Perform other duties as requested or assigned, including typing memos and forms
