The Patient Service Admitting position at Salem Clinic is a critical role that serves as the first point of contact for patients accessing scheduled appointments and various clinical services. This full-time role is based at the Salem Clinic Main location at 2020 Capitol St NE, Salem, OR 97301. As a Patient Service Admitting staff member, you will be responsible for welcoming patients and visitors in a courteous and professional manner, answering phones, scheduling appointments, and effectively communicating between patients and medical support staff. The role requires excellent organizational skills to manage the flow of patients, verify and update patient records, handle insurance referrals, and collect visit fees accurately while maintaining a friendly and helpful demeanor.
Working in this fast-paced environment necessitates strong attention to detail, the ability to multitask, and a commitment to providing top-tier customer service. You will need to be adaptable to flexible working hours, including weekends and holidays, to support the clinic's varied schedule and patient needs. The role also requires physical presence at the clinic and occasionally at other patient service sites as needed. Job Requirements
- High school diploma or equivalent
- possess a current Oregon State driver’s license and reliable transportation
- live close enough to arrive at work within 30 minutes of a phone call
- experience dealing with the public in a fast-paced customer service or office environment
- ability to communicate clearly, professionally, and courteously
- ability to read, understand, and follow oral and written instruction
- ability to work in a fast-paced environment while maintaining attention to accuracy
- knowledge of grammar, spelling, and punctuation
- pass required spelling and typing tests
- flexible availability including weekends and holidays
- detail-oriented and able to prioritize tasks
- ability to work independently and as a team participant
Job Qualifications
- High school diploma or equivalent

- knowledge of medical terminology preferred
- experience with cash handling, word processing, and computers preferred
Job Duties
- Travel to patient service sites as requested
- work flexible hours and shifts
- answer telephones promptly and cordially, following department scripting and protocol
- take messages and relay information to nursing staff or physicians, or make appointments as indicated
- cancel and reschedule appointments as directed
- review future appointments to ensure appropriate utilization
- greet patients and visitors in a prompt, courteous, and helpful manner
- obtain referrals if needed for insurance benefits coordination
- check in patients, verify and update information
- input data into automated appointment system and electronic health records
- determine, inform, and collect appropriate visit fees
- validate patient visits, document payments, balance cash drawers
- refer patients to Credit or Business Office for insurance clarification
- refer to Patient & Provider Relations for disputes
- observe waiting areas and reassure patients
- notify medical personnel of emergencies or lengthy waits
- distribute or assist with completion of forms
- participate in departmental meetings, problem-solving groups, and in-service education
- serve as mentor to new staff and students
- perform other duties as requested
- assist in training new employees
