The Patient Reception Specialist (PRS) position at Harbor Health is a vital role that acts as the first point of contact for patients entering the clinic. The PRS is responsible for welcoming patients and visitors in a professional manner while providing clear communication regarding their appointments and any necessary procedural information. This role is essential in ensuring patients have a smooth and positive experience from the moment they arrive, reinforcing their satisfaction and organizational loyalty. The Patient Reception Specialist's duties include verifying and obtaining necessary documentation such as insurance cards, driver’s licenses, authorizations, and referrals, and accurately entering this information into the practice's Electronic Medical Records (EMR) system. This position requires performing demographic and insurance validations, explaining privacy policies to patients, and maintaining a clean and organized reception and waiting area to promote a welcoming atmosphere.

In addition to these responsibilities, the PRS also handles the collection of patient co-payments, reconciles charges, manages outstanding balances, and ensures daily batch submissions are completed accurately. Scheduling patient appointments and follow-ups according to established policies and procedures is another key responsibility, requiring competence in administrative and communication skills. The ability to communicate effectively with patients, especially during unexpected schedule delays, is a critical aspect of this role, as it helps alleviate patient concerns and maintain comfort.

Candidates for the Patient Reception Specialist position should possess a high school diploma or equivalent and have prior experience in primary care, family practice, internal medicine, urgent care, or emergency room settings preferred. Adeptness in medical terminology, insurance practices, and proficiency with computer programs such as Google Suite and EMR systems are important for success in this position. Additionally, having knowledge of CPT and ICD-10 coding and maintaining a current BLS certification for healthcare providers, though preferred, can enhance a candidate’s qualifications. Job Duties

  • Obtain copies of insurance cards, driver's licenses, authorizations, referrals, and other required appointment documentation and appropriately save them in practice EMR
  • Perform demographic and insurance validation, and inform patients of privacy policies and procedures
  • Keep the reception and patient waiting areas clean and organized
  • Greet all patients and visitors in a professional and welcoming manner
  • Effectively communicate unexpected schedule delays to patients and assist with patient comfort should delays arise
  • Collect patient co-payments, reconciliation charges, and outstanding balances upon check-in as well as submitting batches daily
  • Schedule patient appointments and follow-up appointments per established policies and procedures
