Job Requirements

  • ability to sit or stand intermittently for a shift lasting 8-12 hours
  • capability to push, pull, or lift up to 25 pounds

Job Qualifications

  • minimum of 1 year experience in front desk or administrative roles interfacing with clients, patients, or vendors
  • familiarity with scheduling tools (e.g., My Aesthetics Pro)
  • experience managing patient charts and complex filing systems
  • ability to juggle a high volume of phone calls while prioritizing tasks and interacting with patients and vendors
  • professional demeanor and presentation
  • excellent verbal and written communication skills
  • strong computer skills, particularly with G-Suite (Email, Calendar, Sheets, Docs)
  • exceptional organizational capabilities
  • proven experience in customer or patient care, especially in healthcare or service environments
  • self-motivated and a team player
  • full-time and weekend availability (Saturday and Sunday)
  • bilingual in English and Spanish preferred

Job Duties

  • welcome patients warmly and answer phone calls promptly and professionally
  • manage clinic schedules and patient appointments, ensuring compliance with company policy during check-ins
  • create, maintain, and organize medical records efficiently
  • keep the practice clean and well-stocked, alerting management when supplies are low
  • uphold a positive attitude that contributes to a high-quality work environment
  • assist in daily operations as directed by the Practice Manager
  • perform other assigned tasks to support the team
