Job Requirements

  • High school diploma or GED
  • Minimum two years of customer service experience in a multi-tasking environment
  • Ability to multitask and manage competing demands
  • Strong communication skills, both verbal and written
  • Ability to work independently and exercise good judgment
  • Attention to detail and strong follow-through
  • Ability to remain calm and empathetic in stressful or emotional situations
  • Basic computer proficiency and keyboarding skills
  • Willingness to complete a Medical Terminology course if required

Job Qualifications

  • High school diploma or GED or Associate's Degree
  • Minimum two years of customer service experience in a multi-tasking environment such as a call center, administrative or physician's office, appointment scheduler, or retail/service industry
  • Strong verbal and written communication skills
  • Ability to troubleshoot, problem solve, and balance conflicting demands
  • Independent decision-making and sound judgment capabilities
  • Strong attention to detail and follow-through
  • Demonstrated ability to work effectively in a fast-paced team environment
  • Ability to manage difficult and emotional situations while maintaining positive communication
  • Basic understanding of insurance terminology
  • Strong keyboarding and computer skills
  • Successful completion of a Medical Terminology course within six months if no prior medical education or experience

Job Duties

  • Create and schedule patient appointments within the electronic medical record system
  • Gather and verify patient demographic, guarantor, and insurance information
  • Advise patients regarding co-payments, referral authorizations, and pre-service deposits
  • Navigate multiple scheduling workflows and computer systems simultaneously
  • Manage incoming telephone calls, online appointment requests, and fax inquiries
  • Interpret and apply Mayo Clinic policies on scheduling criteria and medical necessity
  • Provide excellent customer service while handling difficult or emotional situations calmly and empathetically
