Job Requirements
- High school diploma or GED
- Minimum two years of customer service experience in a multi-tasking environment
- Ability to multitask and manage competing demands
- Strong communication skills, both verbal and written
- Ability to work independently and exercise good judgment
- Attention to detail and strong follow-through
- Ability to remain calm and empathetic in stressful or emotional situations
- Basic computer proficiency and keyboarding skills
- Willingness to complete a Medical Terminology course if required
Job Qualifications
- High school diploma or GED or Associate's Degree
- Minimum two years of customer service experience in a multi-tasking environment such as a call center, administrative or physician's office, appointment scheduler, or retail/service industry
- Strong verbal and written communication skills
- Ability to troubleshoot, problem solve, and balance conflicting demands
- Independent decision-making and sound judgment capabilities
- Strong attention to detail and follow-through
- Demonstrated ability to work effectively in a fast-paced team environment
- Ability to manage difficult and emotional situations while maintaining positive communication
- Basic understanding of insurance terminology
- Strong keyboarding and computer skills
- Successful completion of a Medical Terminology course within six months if no prior medical education or experience
Job Duties
- Create and schedule patient appointments within the electronic medical record system
- Gather and verify patient demographic, guarantor, and insurance information
- Advise patients regarding co-payments, referral authorizations, and pre-service deposits
- Navigate multiple scheduling workflows and computer systems simultaneously
- Manage incoming telephone calls, online appointment requests, and fax inquiries
- Interpret and apply Mayo Clinic policies on scheduling criteria and medical necessity
- Provide excellent customer service while handling difficult or emotional situations calmly and empathetically
