The front office worker position at Vista Consulting Services is a critical role designed for a highly organized, self-motivated individual who thrives in a busy office environment. The role primarily focuses on performing a variety of administrative and clerical duties essential for the daily functions of the office. This position plays a key role in ensuring that all front office activities are handled efficiently and professionally, from answering telephones and greeting visitors to sorting mail and handling basic bookkeeping tasks.

This part-time role requires working Wednesdays, Thursdays, and Fridays from 8 a.m. to 5 p.m., offering flexibility for individuals seeking a position that balances professionalism with work-life harmony. The candidate will be expected to interact pleasantly and professionally with clients and staff alike, utilizing strong communication skills and an approachable demeanor. The use of Microsoft Office applications such as Word and Excel is fundamental, and the ability to create templates and manage calendars is essential for maintaining office order and supporting staff effectively. This position also requires the physical capability to occasionally lift up to 25 pounds, supporting various office functions like mail processing and supply management.

Job Requirements

  • high school diploma or relevant equivalent
  • good understanding of office administration and basic bookkeeping practices
  • superb written and verbal communication skills
  • strong knowledge of MS Office programs
  • QuickBooks knowledge a plus
  • ability to operate standard office equipment including computers, phones, photocopiers, fax, and copy machines
  • ability to lift 25 pounds occasionally
  • availability to work part time on Wednesdays, Thursdays, and Fridays from 8 a.m. to 5 p.m.
  • ability to work in a professional office environment

Job Duties

  • interact on the phone and in person in a professional and pleasant manner
  • operate PBX or multi-line telephone system to answer incoming calls and direct callers to appropriate personnel
  • process mail to correct recipients

  • assist staff with other administrative functions
