Job Requirements
- Proven experience in office management or administrative support roles with strong clerical skills
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and data entry skills
- Familiarity with multi-line phone systems and phone etiquette to handle inquiries professionally
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively in a part-time schedule
- Previous experience as a receptionist or in customer service roles such as dental or medical receptionist is preferred
- Knowledge of bookkeeping software like QuickBooks is a plus for handling basic financial tasks
- Personal assistant experience or calendar management skills will be considered advantageous

Job Duties
- Greet visitors, clients, and vendors with professionalism and warmth, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls efficiently and courteously while providing exceptional customer support
- Handle front desk responsibilities including scheduling appointments, maintaining visitor logs, and managing incoming correspondence
- Perform data entry tasks using Microsoft Office, Google Workspace, and other office software to update records accurately
- Maintain filing systems, organize documents, and ensure all paperwork is properly stored and easily accessible
- Support office management activities such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar tools
- Assist with clerical duties like proofreading documents, managing email correspondence, and supporting administrative projects as needed
