The part-time Office Coordinator role based in the Tallahassee, FL office positions you as a pivotal member of Team 6 within a growing organization focused on addressing and exceeding client expectations. This position emphasizes providing essential administrative and operational support that directly impacts project efficiency and team collaboration. Key responsibilities include managing scheduling and coordination of team meetings, client interactions, and project-related activities, ensuring seamless communication and follow-up. You will oversee general office administration such as maintaining office upkeep, liaising with building management to resolve maintenance issues, and managing access to building and parking facilities.
In the role, you will serve as the first point of contact by answering calls, greeting guests, handling mail and package distribution, and assisting with logistical arrangements including catering, travel, and audiovisual support during meetings. The role requires active involvement in the onboarding process for new hires, helping with completion of necessary documentation like I-9 forms, coordinating new employee equipment setup with IT, and managing the return of assets from exiting employees. Besides operational duties, you will coordinate onsite training and safety programs, maintain compliance with office safety standards, and support project management tasks by tracking contracts, project plans, and contributing to quality assurance efforts. Additional responsibilities may involve financial reporting assistance, marketing support for RFP tracking, invoice processing, and functioning as an onsite liaison for IT issue resolution.
