The role being offered is positioned within one of these franchised locations and is vital to the smooth operation of the clinic’s front-end patient interface. The position primarily revolves around managing patient interactions including checking patients in and out efficiently, ensuring the accuracy of insurance verification, collecting payments, and maintaining up-to-date patient records. This role ensures that patient flow is maintained in an organized manner while providing a warm, positive experience to all patients visiting the clinic. The ability to manage multiple tasks such as payment processing, record maintenance, customer assistance, and appointment scheduling underlines the importance of excellent organizational and communication skills.
Successful candidates will prepare the clinic for daily operations, which involves reviewing the facility status, launching essential systems applications, and preparing new patient registration materials and documentation. Front-facing responsibilities include greeting patients upon arrival, furnishing initial paperwork, and acquiring insurance and identification documentation needed for compliance and billing purposes. The job requires updating and verifying patient records with accuracy and on time to prevent delays in service delivery and issues in billing.
A critical element of the role is financial responsibility — determining and collecting payments for services, addressing any billing or collection concerns, and ensuring that all monetary transactions align with system reports daily. End-of-day duties encompass balancing cash, check, and credit card charges, completing closing documentation, performing cash control procedures, and securing financial assets. The role also extends to responsive patient support, offering assistance with follow-up appointments and handling medical documentation requests promptly and courteously.

- Prior experience in medical clerical or administrative role preferred

Job Duties
- Prepare the clinic for opening each day by reviewing the facility, opening all systems applications, and preparing new patient registration packets and required documents
- Greet patients, provide patients with initial paperwork and obtain copies of insurance and identification cards
- Register patients, update patient records, verify insurance accurately and timely, and check patients out
- Determine, collect, and process patient payments and address collection and billing issues
- Respond promptly to customer needs, provide excellent customer service, assist patients with follow-up appointments, and fulfill medical documentation requests
- Balance daily patient charges (cash, check, credit cards) against system reports
- Complete closing procedures by preparing closing documentation and submitting required reports
- Complete cash control procedures and secure financial assets
- Maintain complete and accurate documentation
- Other duties and responsibilities as assigned
