The role of Director of First Impressions at Avanti is a pivotal and unique position that transcends the typical receptionist duties. As the Director of First Impressions, the individual will be the backbone of the front desk operations, managing a variety of tasks including answering phones, directing calls, ensuring proper visitor sign-ins, and maintaining the orderliness of the reception and common areas. The role requires a friendly and polished demeanor combined with excellent communication skills to assist all levels of the community efficiently. Beyond traditional receptionist functions, the role extends to supporting community safety by monitoring residents’ movements and assisting management with potential safety concerns.

This role also includes contributing to community events and activities, particularly during weekends and evenings when traffic is lower, which offers a dynamic and engaging work environment. Support to the Executive Director and Community Relations Director through general office tasks ensures smooth operational flow and reinforces teamwork across departments. The position demands a flexible work schedule within a 24-hour operation, including weekend availability, reflecting the continuous nature of the community’s activities and needs.

Job Requirements

  • Must present as professional and polished with proper grammar skills and pleasant voice tone
  • Must be attentive to details, able to multi-task, and work with multiple interruptions
  • Must be at least 18 years of age
  • Must be able to lift, carry, push and pull 50 pounds
  • Basic knowledge of Microsoft Word preferred
  • Basic knowledge of Microsoft Excel preferred
  • Ability to work flexible schedules in 24-hour operation including weekends

Job Qualifications

  • High School Diploma or GED
  • At least two years general office experience, including reception experience
  • Respect for the principles of resident rights and confidentiality
  • Experience working with the older adult population
  • Excellent interpersonal, organizational, time management and oral/written communication skills
  • Ability to work in a team environment

Job Duties

  • Answer the phone courteously with proper greetings, direct and transfer callers, and take and distribute accurate messages promptly
  • Greet visitors appropriately, direct visitors and ensure that visitors, residents, and vendors sign in/out properly
  • Observe and stop residents attempting to leave the community who should not be and redirect as necessary to assure best efforts are made to safeguard residents
  • Report any safety issues to management immediately
  • Ensure that the reception area, lobby, and living room are vacuumed and trash is emptied
  • Ensure that lobby is kept free of clutter
  • Dust desk and table tops, keep in an orderly fashion and clean windows
  • Check front porch to ensure that it is clean, free of trash, and presents well
  • Ensure that plants are watered on the front porch
  • Assist with activities conducted in the lobby in close proximity to phone and front door and lead weekend/evening activities when less traffic occurs
  • Assist Executive Director and Community Relations Director with general office tasks upon request
  • Retain resident room roster at front desk for safety reasons
  • Assist with other tasks and departments as needed
