The PACE Receptionist plays a crucial role as the first point of contact for participants, visitors, and staff at the PACE Center. This position involves delivering excellent customer service, managing front desk operations, and supporting various administrative functions to ensure the center's smooth daily operations. The receptionist's responsibilities include greeting all participants, families, visitors, and staff in a courteous and professional manner, handling incoming calls and inquiries, scheduling appointments, and coordinating transportation and services as required. Moreover, this role involves financial duties such as receiving premium payments, preparing receipts, and securing premiums. The receptionist also collaborates with building maintenance to keep the office environment clean and well-maintained and manages inventory for office supplies. Maintaining security protocols, monitoring visitor access, and providing urgent or emergency communication are also essential aspects of the job. The receptionist supports PACE team members with administrative needs, contributes to outreach initiatives to promote the center's resources in the community, participates in team meetings and special events, and serves on various committees as designated. A flexible work schedule may be required, including on-call coverage.

The position requires a minimum of one year of experience working with geriatric or frail populations, as well as experience with multiline phone systems or reception duties. A high school diploma or equivalent is necessary, and CPR certification is preferred. Candidates must demonstrate strong interpersonal and communication skills, with a friendly and approachable demeanor, alongside excellent organizational skills to manage multiple tasks efficiently. Proficiency with computers and common software applications such as Word, Excel, PowerPoint, and Outlook is essential. The ability to work collaboratively within a team, as well as independently with minimal supervision, is expected. Staff with direct participant contact must meet legal authorization requirements and specific competencies before working independently. This role operates primarily in an office and clinical setting, with occasional travel required. Physical demands include standing, sitting, bending, and occasionally assisting participants with mobility. Job Requirements

Job Duties

  • Greet and assist participants, families, visitors, and staff in a professional and courteous manner
  • Answer and direct incoming calls, take messages, and respond to inquiries
  • Assist callers by quickly determining needs and directing calls appropriately
  • Partner with building maintenance to ensure office maintenance and cleanliness
  • Receive premium payments, prepare receipts, and secure premiums
  • Schedule appointments and coordinate transportation or services
  • Complete clerical duties such as address changes, documenting survey results, preparing packets, and other assigned tasks
  • Maintain office supply inventory and order supplies as needed
  • Monitor visitor access and maintain security protocols
  • Provide front line communication and relay urgent or emergency information
  • Support PACE team members with administrative needs
  • Collaborate on outreach initiatives to promote the center's resources
  • Serve on internal and external committees as required
  • Participate in team meetings, caregiver groups, and special events
  • Provide on-call coverage as necessary
