The incumbent will be responsible for greeting patients both in person and over the phone, managing patient check-in and check-out procedures, coordinating phone inquiries, and ensuring efficient flow within the optical showroom.

Attention to detail and precision are invaluable in this role as the Optical Receptionist will handle patient records, update information in electronic health records (EHR), manage insurance documentation, and track patient orders with utmost accuracy. This position operates under the supervision of the Optical Manager but requires a self-motivated individual capable of performing duties independently without the need for close oversight. An essential component of this role is maintaining confidentiality and professionalism, given the sensitivity of the patient information handled.

Job Requirements

  • High school diploma or equivalent
  • previous experience in a customer-facing role preferred

Job Duties

  • Greet patients in a friendly fashion in person or by phone conversation
  • direct patients to sign in at the reception counter
  • coordinate phone inquiries and direct accordingly
  • gather patient information that is not currently in the electronic health record such as insurance cards
  • communicate with patients to update them about pending orders and/or direct them to the optician
  • receive the doctor handoff and gather information needed to relay to the optician
  • file VSP patient daily insurance orders on Eye-finity
  • record all patient jobs going to labs to ensure tracking
  • coordinate outgoing shipments via courier services including FedEx and UPS
  • breakdown charts daily and distribute forms to appropriate departments
  • enter all medical service charges in patient ledgers with accurate dates and insurance ER coding
  • accept all types of payments including cash, check, and credit cards
  • be observant at all times to offer assistance as needed and prevent potential shoplifting
  • perform other duties as required
