Job Description

We are a busy, patient-focused ophthalmology practice dedicated to providing high-quality eye care services in a welcoming and efficient clinical environment. We are currently seeking an experienced and professional Ophthalmic Clinic Receptionist to join our team on a full-time basis. This role operates Monday through Friday from 7:30 AM to 4:30 PM, offering a stable daytime schedule ideal for individuals seeking work-life balance. The hourly pay ranges from $17 to $18 depending on experience, making this position a valuable opportunity within a growing practice. The Ophthalmic Clinic Receptionist serves as the crucial first point of contact for patients, responsible for creating a warm and efficient front office experience.

In this position, the receptionist will greet patients, manage check-in and check-out procedures, handle multi-line phone systems, and schedule appointments with competitive professionalism and care. Experience working in an ophthalmic or medical office is highly preferred, as familiarity with ophthalmology terminology, procedures, and related insurance processes will enable seamless integration into our fast-paced environment. The receptionist must be adept at verifying insurance coverage, managing authorizations, and maintaining accurate and organized patient records using electronic medical record (EMR) systems.

Beyond clerical responsibilities, this role demands a high level of interpersonal skills to coordinate with clinical staff such as ophthalmologists and technicians, ensuring smooth patient flow and delivering exceptional customer service. The ability to multi-task, work effectively under pressure, and maintain careful attention to detail are essential traits for success in this role. Additional duties involve collecting co-pays, processing payments, filing, faxing, and handling email correspondence.

Job Requirements

  • At least one year of medical front office experience
  • Perform secretarial duties using specific knowledge of medical terminology and hospital, clinic, or laboratory procedures
  • Ability to schedule appointments, bill patients, and compile and record medical charts, reports, and correspondence
  • Answer telephones and direct calls to appropriate staff
  • Schedule and confirm patient diagnostic appointments, surgeries, or medical consultations
  • Complete insurance or other claim forms
  • Greet visitors, ascertain purpose of visit, and direct them to appropriate staff
  • Transmit correspondence or medical records by mail, e-mail, or fax
  • Maintain medical records, technical library, or correspondence files
  • Receive and route messages or documents, such as laboratory results, to appropriate staff
  • Interview patients to complete documents, case histories, or forms, such as intake or insurance forms
  • Operate office equipment and use word processing, spreadsheet, or other software applications to prepare reports, invoices, financial statements, letters, case histories, or medical records

Job Qualifications

  • Previous experience in an ophthalmic clinic or medical office required
  • Familiarity with ophthalmology terminology and procedures preferred
  • Strong customer service and communication skills
  • Knowledge of insurance verification and medical billing processes
  • Proficiency with EMR systems and Microsoft Office Suite
  • Ability to multitask and remain organized in a fast-paced environment
  • Professional demeanor with excellent attention to detail
  • High school diploma or equivalent required

Job Duties
