The Operations Manager position is a full-time classified staff role based in Fairfax, VA, requiring on-site presence. This role is pivotal in ensuring the smooth and efficient operation of the Green Machine Ensembles by managing a wide array of administrative, financial, and logistical tasks. The position functions as the central coordinator supporting faculty, staff, and students associated with the ensembles.

Key responsibilities of the Operations Manager include overseeing daily office operations, managing communications, processing financial transactions, and maintaining shared spaces. The role demands a proactive approach to customer service, offering front-line support through handling inquiries from phone, email, and in-person interactions. Executive support is provided to the Director and senior leadership, including calendar management, communication assistance, and operational planning support.

This role also involves managing logistics such as rehearsal space reservations, ensemble travel arrangements, and adherence to university risk management and purchasing policies. The Operations Manager collaborates closely with various ensemble coordinators and senior staff members in budgeting, invoicing, contract preparation, and fundraising activities. Experience with financial software and maintaining department purchasing systems is essential.

Moreover, the position contributes to marketing and communications efforts by supporting social media engagement, managing departmental websites, coordinating announcements, and assisting with print materials. Occasional travel with ensembles is required to provide on-site operational support during events.

Flexibility is important as the typical workweek is Monday through Friday, 9:00 a.m. to 5:00 p.m., with additional availability needed for evening and weekend events tailored to the ensembles' schedules. The Operations Manager role includes comprehensive checks such as criminal background, financial background, and motor vehicle record reviews, reflecting the university's commitment to safety and compliance.

Job Duties

  • Provide customer service front-line support
  • Work as an executive assistant managing the director's schedule and communications
  • Assist senior and assistant directors with calendars, email, and software training

  • Liaise with risk management and safety offices
  • Ensure compliance with laws and university policies
  • Distribute and collect risk forms and waivers
  • Support marketing and communications including social media, mailings, print materials, and website maintenance
  • Coordinate internal and external communications and announcements
  • Provide on-site operational support during ensemble events
