Job Description

The John Bunker Sands Wetland Center is a dedicated nature center located in Combine, Texas, near Dallas. This center is committed to educating the public about vital environmental topics including water resources, wetlands, and local wildlife, emphasizing the importance of conservation. The Center uses the East Fork Water Reuse Project, a remarkable 2,000-acre wetland area that not only supplies drinking water to residents in the surrounding regions but also serves as a thriving habitat for a wide variety of wildlife. Visitors to the Wetland Center can enjoy a diverse range of educational programs that cater to K-12 students, families, and adults interested in nature. These programs include hands-on education classes, nature seminars, bird watching excursions, guided boardwalk tours, scouting activities, and special events that highlight the rich biodiversity of the area and encourage a connection with the natural world. The Center’s extensive trails offer an immersive experience into a biologically diverse ecosystem, home to around 300 species of birds such as bald eagles, along with various native mammals, insects, amphibians, and reptiles.

The Operations, Events & Volunteer Coordinator role at the John Bunker Sands Wetland Center is pivotal in maintaining the center’s smooth daily operations and ensuring an excellent visitor experience. This full-time role, scheduled Tuesday through Saturday with occasional evening hours, is responsible for a wide range of administrative and operational tasks. The coordinator manages crucial systems including facility readiness, vendor relationships, front desk operations, membership data, and nature store management. They also orchestrate the logistics for all center events – from public programs to fundraising activities – ensuring all aspects from event setup to vendor coordination and permits are efficiently handled. Additionally, this position oversees volunteer and steward coordination, which involves onboarding, scheduling, tracking hours, and facilitating communication to support the center's environmental education and conservation missions. Financial responsibilities include processing invoices and maintaining proper records in compliance with accounting standards. Working closely with the Executive Director and various program staff, the Operations, Events & Volunteer Coordinator acts as the backbone of the center’s operations, fostering a welcoming environment where staff, volunteers, visitors, and community partners can collaborate to promote the Center’s mission of environmental stewardship and education. This position requires a highly organized, detail-oriented professional who is adept at multitasking in a dynamic, public-facing setting and who is passionate about supporting conservation and community engagement efforts.

Job Requirements

  • College coursework or degree in business administration, nonprofit management, communications, or related field
  • 3-5 years of experience in operations, office administration, event coordination, volunteer coordination, or nonprofit administration
  • experience coordinating logistics for events and public-facing operations
  • experience managing volunteer systems including onboarding and scheduling
  • proficiency with Microsoft Office Suite, Google Workspace, POS systems including Square, and database platforms
  • valid driver's license and reliable transportation
  • strong verbal and written communication skills

Job Duties

  • Ensure the center is open, operational, and visitor-ready during scheduled hours
  • coordinate facility readiness, maintenance, and vendor services
  • maintain relationships with contractors
  • maintain up-to-date emergency procedures, contacts, and documentation
  • assess, purchase, and track operational supplies and equipment
  • maintain protocols for technology and shared systems
  • oversee front desk operations and visitor flow
  • maintain nature store operations including inventory and sales reporting
  • manage membership systems and records
  • maintain accurate master lists of contacts
  • maintain secure documentation of system access and passwords
  • coordinate logistics for all center events including public programs, rentals, and fundraising
  • develop and maintain event timelines and checklists
  • coordinate vendors, rentals, permits, and onsite setup/breakdown
  • support onsite event execution including occasional evenings
  • assist with event logistics for the annual fundraiser and donor events
  • manage volunteer and steward onboarding including paperwork and background checks
  • maintain volunteer databases, schedules, and hour tracking
  • coordinate volunteer assignments
  • support volunteer communications and scheduling
  • collaborate with staff to prepare volunteers
  • process invoices, expense reports, deposits, and reconciliations
  • maintain accurate financial records
  • prepare monthly credit card and expense reports
  • support tracking of restricted funds and documentation
