Job Description

The Events and Operations Coordinator position at WPI is a full-time role based in Worcester, MA, offering an hourly wage range of $21.25 to $24.56 depending on experience. This position plays a critical role within the Event and Conference Services department, supporting the coordination and execution of student organization events and activities across campus. Reporting directly to the Director of University Events and Chief Commencement Officer, the coordinator manages several facets of event planning and operational support, including scheduling, communication, resource allocation, and on-site event execution.
The coordinator operates within the university's event management software system (25Live), skillfully managing event requests, reservations, and necessary preparations that involve multiple campus stakeholders, such as Facilities, Campus Police, Catering, Athletics, and Residential Services. A significant portion of the role involves providing excellent customer service to students by advising on event policies and procedures, processing work orders, and managing logistical aspects like parking permits and IT support.
In addition to event coordination, the coordinator also contributes to the smooth functioning of the Conference and Event Services Office through administrative duties. These include managing office purchasing, correspondence triage, assisting with office policies and procedures, onboarding student workers, and updating the department’s website using Drupal content management tools. Furthermore, the coordinator plays a backup role in committee meetings and supports the highly visible university commencement exercises, working closely with the Director to ensure successful planning and execution.
The role requires strong organizational skills, analytical thinking, and proficiency in various software applications including Microsoft Office Suite, Google Workspace, databases, and preferably experience with event management software like 25Live. Candidates should possess at least two years of experience in office settings and event planning, combined with excellent written and verbal communication skills and the ability to manage multiple projects simultaneously. Physical requirements may include standing, walking, and lifting up to 50 pounds during on-site event support.

Job Duties
- manage day-to-day student event requests ensuring efficient and equitable processing
- provide guidance on event policies and procedures
- process event correspondence via email meetings and phone
- manage incoming 25Live reservation requests
- process work orders for power banners and equipment or supply transportation
- gather post-event analysis budget recaps and participant feedback and incorporate findings into future planning
- serve as project manager for all events collaborating with multiple campus departments
- create event diagrams and assign resources for each event
- coordinate card access parking passes wireless passes and IT support for events
- communicate cost estimates to all clients
- serve as on-site support to ensure event planning and execution meets client expectations
- triage incoming correspondence to the office alias
- manage office purchasing
- assist with securing City of Worcester permits including Institute Park and Temporary Occupancy
- coordinate voluntary parking permits with Campus Police
- onboard and assist with student workers
- assist in the creation and implementation of office policies and procedures
- communicate updates changes and trainings for 25Live to the campus community
- develop and recommend new efficiency standards to enhance event scheduling productivity
- assist with editing and updating the office website using Drupal
- act as backup on committees and meetings as needed
- assist with data gathering and presentation preparations
- play an active role in commencement planning and exercises
- perform all other duties as assigned by the Director
