We are currently seeking an Operations and Administrative Coordinator to join our founding U.S. team during this exciting phase of growth. This role is a fantastic opportunity for someone with a background in accounting or finance who wants to expand their skill set into multiple operational areas, including human resources, marketing support, and cross-functional project management. This position is based on-site in our Torrance office and offers an annual salary range of $72,000 to $85,000, classified as an exempt role.
The Operations and Administrative Coordinator will play a pivotal role in supporting various facets of our business operations. Key responsibilities include managing daily accounts payable and receivable, handling vendor invoices and payments, and supporting month-end closing activities. The role also involves maintaining accurate financial records using QuickBooks or similar accounting systems, assisting with budgeting, cost tracking, and financial reporting, and continuously improving and streamlining finance processes to support business growth.
In addition to finance and accounting duties, the coordinator will manage office communications, schedule meetings, prepare agendas, document notes, support travel arrangements, and assist with obtaining business licenses, permits, and ensuring compliance with local regulations in Los Angeles County and the City of Los Angeles. This role also includes contributing to operational improvements and initiatives that span across departments.
Human resources responsibilities include supporting new hire onboarding, managing HR documentation, and assisting with employee engagement activities, ensuring a positive and effective workplace environment. Furthermore, the coordinator will provide support for marketing campaigns and local promotions, help manage social media initiatives, track project timelines, and assist in various cross-functional projects.
Ideal candidates will have a strong attention to detail, excellent organizational skills, and the ability to work independently and collaboratively within a dynamic, fast-growing environment. Candidates should also be eager to learn and expand their experience beyond traditional finance to encompass broader operational and project coordination tasks. Fluency in English and business-level proficiency in Japanese are required due to collaboration with both U.S. and international teams. Job Requirements
- Associate’s or Bachelor’s degree in accounting, finance, business, or related field
- 3+ years of accounting, bookkeeping, or finance coordination experience
- Proficiency in QuickBooks or similar accounting software
- Strong attention to detail and organizational skills
- Ability to work independently and collaboratively in a fast-growing environment
- Business-level Japanese language proficiency
- English fluency
- Based in Torrance CA (on-site)
- Ability to occasionally lift up to 25 lbs
Job Qualifications
