The Firm services department is a crucial internal support pillar, assisting partners, departmental staff, and clients alike. Within this department, an exciting opportunity exists to join the administrative services team based in the San Jose office. The administrative services team member will be instrumental in maintaining an efficient and professional office environment. This role requires strong interpersonal skills and a positive work ethic to engage productively with various members of the professional service staff. It highlights responsibilities that range from managing reception duties, keeping office supply inventories organized, to ensuring all firm documents meet prescribed quality and formatting standards before distribution. In addition to office and document management, the role extends to support functions such as assisting partners with their administrative needs and contributing to other practice support areas as needed. This position offers competitive compensation ranging from $27 to $35 per hour, contingent on candidates' qualifications and experience. Job Duties
- Reception and general office duties
- manage inventory and ordering of office supplies
- accurately and efficiently format, proof, finalize and distribute Firm documents adhering to established guidelines and quality control standards
- confirm completeness and accuracy of own work and check the work of others to minimize errors and redundancies
- monitor, prioritize and process work-flow in a timely manner including updating metrics and departmental production information
- understand and adhere to organizational and legal policies for quality, risk mitigation, confidentiality and data privacy
- assist with other administrative duties including office administration, partner support and other practice support areas as needed
- assist with daily cleaning and restocking of kitchen areas
- remotely assist or travel to other offices, offsite USPS, FedEx or client locations as necessary
