Job Requirements

  • Completion of a high school or college English course or at least six months of work experience applying business English concepts or successfully completing a nine-month to one-year office administration course
  • at least six months of work experience using and maintaining filing systems or successful completion of office administration training
  • at least six months of work experience reviewing documents for compliance or successful completion of a nine-month to one-year office administration course
  • at least six months of paid work experience using a computer to enter and retrieve information
  • at least six months of experience answering a business telephone using proper telephone procedures and etiquette

Job Qualifications

  • Good knowledge of rules of effective business English usage, spelling, punctuation, and grammar
  • experience using alphabetical, numerical, or subject filing systems including determining file names, setting up new files, classifying, labeling, filing, and retrieving
  • experience reviewing documents for compliance with established procedures
  • experience using a computer to enter and retrieve information

Job Duties

  • Telephone reception using a multi-line phone system
  • file maintenance
  • computer work using Microsoft Word, Excel, and Outlook
  • creates all purchase orders for fiscal, receives ordered items and matching packing slips with executed purchase orders
  • maintains copy room supplies for staff
  • serves as liaison with building services on repairs and maintenance issues
  • coordinates and schedules hearing and conference rooms
  • sets up rooms for public hearings and workshops
  • coordinates and schedules fleet vehicles for staff use
  • maintains and orders supplies for simple office machinery
  • may perform office support such as composing correspondence
  • creating, reviewing, and processing documents and records
  • special projects
