Job Description

The Office of Youth Ministry, Young Adult Ministry, and the University Apostolate is a dedicated ministry operating within the Archdiocese of New York, committed to fostering spiritual growth, engagement, and formation among youth, young adults, and university communities. Through a variety of programs, retreats, and events, this office seeks to provide meaningful opportunities for faith development, community building, and leadership. Their efforts are focused on serving diverse populations ranging from high school youths to young adults in college, integrating both traditional and contemporary approaches to ministry within a Catholic context.

They are currently seeking a motivated and organized Events and Retreats Associate to join their team. This role is full-time, non-exempt, and eligible for overtime, with a compensation range of $25.00 - $28.00 per hour. The successful candidate will assist the Director for Youth Ministry, Young Adult Ministry, and the University Apostolate by coordinating, planning, and executing a variety of significant events and retreats throughout the year. These key events include New York Catholic Youth Day, the monthly Young Adult Mass at St. Patrick's Cathedral, the Love & Responsibility Summer Series, the Ministers' Retreat, Catholic Scouting events, and confirmation retreats among others.

The role involves mid-level planning and operational coordination. As the primary logistical point person for major events, the associate will oversee all logistics, communicating with vendors, speakers, musicians, clergy, venues, retreat centers, and volunteers. Although final approval resides with the Director, the associate plays a pivotal role in ensuring smooth operations from initial planning stages through event execution and evaluation.

Key responsibilities include managing event timelines, calendars, run-of-show documents, and task lists to meet deadlines and requirements efficiently. This role requires oversight of event registrations, participant tracking, attendance records, and database management. Post-event communications and follow-up activities also fall under this position's duties. Additionally, the Associate will maintain and manage professional relationships with multiple vendors and service providers to support ongoing and future events.

Event logistics management encompasses organizing space reservations, room setups, audiovisual needs, meals, transportation, accessibility considerations, and volunteer coordination. The associate will also assist with budgeting and financial administration, including gathering cost estimates, tracking expenses, preparing invoices, and submitting documentation as directed.

Supporting the University Apostolate's initiatives is another critical aspect of this role. This involves coordinating semester-based and ongoing gatherings, retreats, trainings, and events for campus ministers, student leaders, and university communities across the Archdiocese of New York. Collaboration with the Director, Associate Director, administrative assistant, and other office associates is essential to ensure coordinated planning, communication, and execution of all ministry initiatives.

This position offers the opportunity to engage deeply with youth and young adult ministry within a significant religious organization, contributing to events that impact faith formation and community engagement. Candidates should be committed to living and articulating the Catholic Church's teachings, and possess strong organizational, communication, and interpersonal skills. Occasional evening, weekend events, and travel within the Archdiocese's various locations are expected, thus requiring flexibility and reliable transportation.

Overall, this role is ideal for an individual who is passionate about ministry, enjoys event planning and logistics coordination, and has a heart for serving the Church's youth and young adult populations in a dynamic and supportive environment.
