The role of Office Manager at ABV’s Charlotte, NC location plays a crucial part in supporting the DTC (direct-to-consumer) Support Team and managing the overall office environment. This position is vital for facilitating smooth administrative operations, enhancing team coordination, and supporting various technical projects that underpin the company’s success. Reporting directly to the Director of DTC Operations, the Office Manager ensures the seamless management of technical tools, software platforms, and office procedures that contribute to operational efficiency and a welcoming workplace atmosphere.

The Office Manager’s responsibilities are diverse and detail-oriented, including managing critical DTC software systems such as SharePoint, ScheduleFly, Tripleseat, Untappd, Approve for Good, and eCommerce platforms. They will support new user onboarding and technology setup, handle merchandise eCommerce tasks like stock management and seasonal planning, and oversee donation software with budget monitoring and reporting functions. Beyond technology and commerce support, this role involves maintaining organizational excellence by managing communications, schedules, monthly compliance tracking, and other general administrative duties.

On the office management front, the individual will maintain confidentiality in handling mail and communications, lead employee engagement activities like the Charlotte Brew Crew, manage office supplies and facilities, coordinate visitor logistics, and provide executive-level support including calendar management and administrative coordination. Job Duties

  • Manage DTC support software including user enrollment, site updates, and permission settings
  • provide new manager and DTC support technology assistance including system and computer setups
  • support merchandise eCommerce activities such as stock management, sale management, and seasonal planning
  • maintain Master Merchandise Catalogue and assist in new item builds
  • manage merchandise shop and donation email inboxes, responding and escalating as needed
  • oversee donation software including quarterly updates, budget monitoring, and monthly reporting
  • perform administrative tasks including scheduling meetings and distributing newsletters
  • track completion of monthly certifications like ServSafe, Cicerone, and Certified Cider Guide
  • lead special projects related to DTC support
  • maintain confidentiality in office mail, communications, and filing
  • lead Charlotte Brew Crew focusing on employee engagement, community service, and budget management
  • oversee office and kitchen supplies and ensure breakroom and office cleanliness
  • coordinate office repairs and maintenance with property managers and contractors
  • manage FedEx account, shipping supplies, and assist employees
  • coordinate and greet visitors, vendors, and customers directing them appropriately
  • manage corporate distribution lists and organizational internal communications
  • provide support for company-wide events, key meetings, and executive calendars
  • administer employee access to company platforms and corporate cards with user support
  • provide administrative and operational support to the C-suite
  • lead special administrative projects as assigned
