The Office Manager role at 160over90 is a vital position that ensures the agency’s physical office environment in St. Louis is running smoothly and presents a welcoming atmosphere to employees, clients, and vendors. This is a part-time position, averaging around 30 hours per week, primarily working Monday through Thursday in the office. The Office Manager’s responsibilities include overseeing general office administration, operational functions, hospitality coordination, and personnel support. In addition to administrative oversight, the role involves managing the kitchen, bar, coffee areas, and maintaining the cleanliness and stocking of beverages and snacks. The Office Manager coordinates a variety of food and beverage hospitality efforts, including ordering working meals for meetings, client events, and cultural activities. Financial responsibilities also play a critical part of the role, as the Office Manager oversees the budget for office supplies, food and beverages, and cultural activities. This includes expense report preparation and invoice management.
Personnel management forms an important facet of this role. The Office Manager maintains office seating charts, parking allocation, and coordinates office moves. They assist in onboarding new employees by setting up badges and workspaces and cultivate positive relationships across agency teams. Job Duties
- Provide reception/front desk support to welcome employees, clients and vendors into agency
- Coordinate with office staff to secure and book conference rooms for high profile meetings or client visits
- Sort inbound mail/packages and deliver to employees and prepare outgoing mail/packages, handle interoffice Campus Ship
- Liaison with building/property management to coordinate custodial service, office maintenance, repairs and vendor visits
- Manage and maintain building and security access systems
- Alert agency staff for building-wide notifications including office closures, snow removal status, fire drills, power outages
- Activate/deactivate security badges for new/leaving employees in partnership with HR
- Serve as St. Louis representative for the Culture Committee including planning and executing events/initiatives
- Keep building spaces neat, orderly and organized
- Order/maintain inventory of office supplies
- Serve as a liaison with WME Group facilities team, providing occupancy reports and ad hoc requests
- Maintain office equipment and schedule maintenance/repairs
- Partner with IT to troubleshoot A/V tech and conference room systems
- Maintain kitchen, bar, soda fountain, draft beer, and coffee areas including cleaning and restocking
- Order working meals and assist with conference room setup/tear down
- Maintain shared budget tracker with finance leads
- Provide receipts and prepare expense reports
- Submit and approve building invoices
- Maintain office seating chart and parking allocations
- Coordinate and manage office moves
- Assist with coordinating onboarding, badge/access, desk setup for new employees
- Build relationships with agency teams across departments
