Job Requirements

  • Previous secretarial, administrative assistant, or office services experience
  • Superior verbal and written communication skills
  • Exceptional telephone and business etiquette
  • Highly skilled in Microsoft Office suite

Job Duties

  • Maintain switchboard, reception area, conference rooms, and cafeterias on a daily basis at firm headquarters
  • Answer client and general calls/inquiries at reception desk
  • Register visitors with building security, greet visitors upon arrival and contact appropriate parties
  • Assist employees with reserving conference rooms and conference room lines
  • Respond to general Office Management inquiries
  • Manage special projects assigned by Operations Department Manager
  • Order office supplies, request new employee login credentials to order supplies, and track monthly spending for each branch
  • Keep inventory and replenish office supplies as needed
  • Assist with mailroom duties as needed
  • Update and keep track of monthly invoices for various vendors
  • Schedule maintenance for office equipment and appliances
  • Request new employee FedEx credentials and track monthly spending
  • Assign, update, and terminate access with building security
  • Perform other duties as they arise
