The role of Office Coordinator at Cambio plays a vital part in the seamless daily operations of the communities served. This position involves a blend of administrative duties and resident relations to enhance the overall community experience. The Office Coordinator acts as a primary point of contact for residents and prospective residents, offering support and guidance throughout their tenancy. Responsibilities include managing community communications, processing payments, assisting with the move-in and move-out processes, and maintaining accurate and confidential records. This role also requires handling administrative tasks such as answering phones, filing documents, and preparing various resident-related notices and documents.

The Office Coordinator will serve as an essential liaison, professionally addressing community feedback and escalating issues appropriately to management. They ensure the community inventory is move-in ready and support marketing efforts to attract new residents. The work schedule includes regular evening and Saturday shifts, reflecting the need to accommodate resident schedules and community events. By fulfilling these duties, the Office Coordinator contributes significantly to sustaining a safe, inviting, and well-organized residential environment.

Competency in communication, both written and verbal, is crucial in this role, as is proficiency with computer applications including Microsoft Office and preferably some property management software. Job Requirements

  • High school diploma or equivalent
  • One to three months related administrative or office experience
  • Excellent written and verbal communication skills
  • Basic computer proficiency including Microsoft Office
  • Must maintain a valid driver license and clean driving record
  • Reliable transportation to work
  • Must have an active personal mobile phone
  • Ability to work rotating work hours including evenings and weekends
  • Willingness to maintain professional appearance
  • Ability to lift and/or move more than 20 pounds occasionally

Job Qualifications

  • High school diploma or general education degree (GED)
  • One to three months related experience in an administrative or office setting and providing customer service and/or training, or equivalent combination of education and experience
  • Excellent communication skills including writing and verbal
  • Computer skills including Microsoft Office Suite
  • Experience with property management software such as Manage America, Back Office, Yardi, Rent Manager a plus but not required
  • Valid driver license and clean driving record
  • Reliable transportation to work
  • Active and working personal mobile phone
  • Growth mindset with a willingness to test and learn
  • Ability to present self in a neat, clean, and professional manner
  • Ability to work required rotating schedule including evenings and Saturdays

Job Duties

  • Establish rapport with residents and prospective residents, field community comments, suggestions, and complaints, and forward to the appropriate manager
  • Prepare and distribute resident and community communications including rule reminders, increase letters, delinquency notices, eviction paperwork, lease addendums and renewals
  • Perform administrative and clerical functions including answering phones, typing, copying, and filing
  • Provide prospective residents with an option to see suitable homes to their needs that are in inventory, show the homes, and guide them through the application process
  • Collect and post resident security deposits, processing fees, rent payments, inspection fees, record transactions in the ledger and issue receipts
  • Call for payment on delinquent accounts
  • Process move-ins and move-outs
  • Prepare bills and statements for approval
  • Maintain a record of all traffic logs and/or guest cards, and telephone calls
  • Assist with the preparation of marketing materials and implementation of resident relation activities such as Facebook, MH Village, local newspapers, and any other marketing sources
  • Ensure inventory homes are move-in ready at the time of closing
  • Ensure confidentiality of all data in the resident files (income, credit reports, assets, etc.)
  • Conduct lease signing and new resident orientation for new residents
  • Comply with federal, state and company policies, procedures, and regulations
  • Provide coverage in the event of a vacancy or absence of a Community Manager
  • Work flexible hours including scheduled evenings and Saturdays
  • Perform other duties as assigned
