The Front Desk Associate role is critical in providing the first and lasting impression of the hotel to its guests. This position is responsible for greeting guests warmly and managing check-in and check-out procedures promptly and professionally. The associate acts as the liaison between guests and the hotel’s reservation systems, ensuring accuracy in all transactions and delivering seamless customer service from start to finish. Mastery of the hotel's front office computer or manual systems is essential in managing daily tasks including guest registration, room assignments, and handling billing processes such as posting charges and cash transactions. The role demands accuracy in cash handling, familiarity with hotel rates, discounts, and reservation protocols including special requests and room blocking. Special attention is required to support same-day reservations and to follow cancellation or relocation procedures as needed to maintain a smooth operational workflow.

This position requires a proactive approach to work ethic, excellent communication skills, and the ability to work varied schedules such as nights, weekends, and holidays to meet the needs of the guests and the hotel. Physical requirements include the ability to work in an office setting with prolonged periods of sitting, occasional standing and walking, fine motor skills for keyboarding and operating office equipment, and lifting or moving light materials. Overall, the Front Desk Associate serves as a key ambassador representing the hotel's values and commitment to guest satisfaction through attentive, courteous service and operational expertise.

Job Requirements

  • High school diploma or equivalent
  • Previous experience in customer service or hospitality preferred
  • Ability to communicate effectively both verbally and in writing
  • Capacity to handle cash transactions accurately
  • Willingness to work varying schedules including nights, weekends, and holidays
  • Ability to perform physical tasks including prolonged sitting and occasional standing
  • Ability to lift or move 10-25 pounds as needed
  • Ability to use office equipment such as computers and telephones
  • Reasonable accommodations can be made for individuals with disabilities

Job Qualifications

  • High school diploma or equivalent
  • Previous experience in a customer service role preferred
  • Strong communication and interpersonal skills
  • Knowledge of front office computer systems or willingness to learn
  • Ability to work effectively in a team environment
  • Basic math skills for handling cash and posting charges
  • Attention to detail and organizational skills
  • Flexibility to work varying schedules including nights, weekends, and holidays

Job Duties

  • Greet and communicate cordially with guests, promptly and professionally checking them in and out of the hotel
  • Assist in pre-registration and blocking of reservations when necessary
  • Promptly, accurately and efficiently know how and where to post all charges
  • Have complete working knowledge of Front Office computer or manual system, including all daily transactions and those which are not performed often
  • Accurately manage cash handling, including receiving cash, checks and credit card information from guests for payment of hotel charges and making change correctly
  • Review any reservations with special requests and work to block rooms accordingly
  • Have knowledge of hotel rates, discounts and how to handle each
  • Have working knowledge of reservations and procedures, including how to take same day reservations
  • Should be able to take reservations in approximately 2 minutes
  • Know and follow cancellation procedures and relocation procedures when necessary
