Job Requirements
- HS diploma or GED required
- Minimum five years of relevant experience in meeting planning, hospitality, or corporate event management
- Technical degree or certification in hospitality strongly preferred
- CMP certification preferred
- Strong ability to manage multiple complex projects simultaneously
- Excellent communication and negotiation skills
- Proficiency in event technology tools
- Ability to work long hours including occasional weekends during event delivery
- Ability and willingness to travel up to 30% with heavier travel during peak seasons
- Must be able to lift up to 40 pounds without assistance
- Comfortable working in office and various outdoor weather conditions

Job Duties
- Collaborate with event sponsors on creation, planning, and design of internal meetings and events to ensure objectives, messaging, and engagement are achieved
- Lead development of job plans including RFPs, event estimates, budgets, timelines, and task schedules
- Serve as main contact with hotels, meeting venues, and third-party providers for planning and logistics coordination
- Review plans and materials with partners to ensure alignment, quality, and satisfaction
- Act as lead liaison between departments and sub-functional planning teams to align logistics, production, content, and technology
- Negotiate with venues and vendors to secure quality and budget adherence
- Engage with outside suppliers for giveaways, graphics, transport, decor, and event services
- Research and recommend venues and event concepts supporting goals and budgets
- Drive attendee registration and travel management, including rooming lists and event websites
- Coordinate transportation logistics including VIP and group transfers
- Supervise shipping and onsite staff support coordination
- Build and monitor event budgets
- oversee reconciliation and invoice processing
- Maintain project documentation including cost breakdowns and schedules
- Ensure compliance with travel policies, procurement procedures, and corporate event standards
- Travel to event sites for setup and supervising onsite event operations
- Lead vendors and logistics during live events ensuring flawless execution
- Represent team professionally with sponsors, attendees, and partners
- Prepare and deliver post-event reports, reconciliations, and evaluations
- Gather feedback and recommend improvements for future events
- Coordinate team travel and site visits
- Manage event branding and graphics coordination with internal creative agency
- Select and handle floral, linens, and decorative elements according to brand expectations
- Handle giveaways and event branding as needed
