The Meetings and Events Planner position at FNIH is pivotal for ensuring the seamless execution and management of a wide array of events including large conferences, workshops, professional meetings, and special events—both international and domestic—as well as live virtual events. Reporting to the Director of Meetings and Events, this role involves comprehensive planning and coordination responsibilities. The Planner manages assigned projects by collaborating with the Science Partnerships project lead staff, overseeing project budgets, researching and inspecting meeting venues, and negotiating contracts with vendors to ensure all events meet organizational standards and client expectations.
This position demands strong organizational skills and the ability to oversee multiple components of event logistics. The Planner will work closely with a meeting coordinator to manage all facets of event arrangements, including transportation, parking, signage, catering, marketing, advertising, security, permits, audio/visual requirements, and event registration processes. On the day of the events, the Planner will oversee implementation using event management tools and software, ensuring strict adherence to budgets, timelines, and procedures while maintaining strong internal and external relationships.
Problem-solving and proactive resolution of issues are vital aspects of this role, as the Planner must handle challenges arising from changing needs and circumstances effectively. This role requires a hybrid work arrangement with regular visits to the FNIH headquarters in Bethesda, Maryland. It also entails occasional weekend, evening, and irregular hours work, with required domestic travel of 10-15%, and possible international travel related to event execution.
This role is ideal for a seasoned event planning professional with at least five years of relevant experience, preferably with certification such as the Certified Meeting Professional (CMP) credential, and familiarity with tools like Microsoft 365 and Cvent Event Management software. The ideal candidate will possess strong interpersonal and written communication skills, demonstrate exceptional customer service, and exhibit flexibility in adapting to new technologies and shifting priorities. Job Qualifications

Job Duties
- Source venues appropriate for meetings and negotiate contracts per internal guidelines
- oversee all aspects of hotel arrangements including rooming lists, meeting space, food and beverage, and audio/visual equipment
- coordinate logistics of virtual, hybrid, and in-person meetings including virtual event platforms, room layouts, catering, and A/V needs
- communicate with vendors regarding preplanning and manage onsite operations
- anticipate and resolve issues with project schedules, resources, and budgets
- oversee travel arrangements in partnership with a meeting coordinator ensuring compliance and communication
- manage event registration lifecycle including invitations and communications
- coordinate meeting collateral and production timelines ensuring quality
- reconcile event expenditures to meet or stay below budget objectives while keeping leaders informed
- update project management software tasks regularly
- assist with departmental tasks such as inventory as needed
- take action to solve problems and escalate issues when required
