The Meetings & Events Manager role at DOCS Sedation is a dynamic and integral position that plays a critical part in the successful delivery of national and regional sedation courses. This full-time role is responsible for the end-to-end management of live educational events, including logistical planning, coordination with faculty, compliance with continuing education (CE) requirements, vendor relations, and on-site event execution. The manager works closely with multiple teams such as Marketing, Finance, Content, and Customer Support, acting as the central operational hub to ensure all aspects of the programs are aligned and running smoothly.

The role demands someone who thrives in fast-paced, detail-intensive environments and is highly skilled in managing complex programs with precision. The Meetings & Events Manager leads the entire logistics spectrum, from securing venues and managing room blocks, to coordinating audiovisual needs, catering, signage, registration processes, and dissemination of course materials. Beyond logistics, the manager also maintains strong collaborative relationships with DOCS faculty, coordinating their travel and accommodations while supporting their communication and on-site needs to create a seamless educational experience.

A critical component of the role involves ensuring all courses meet stringent CE and regulatory standards, managing documentation, evaluations, and certificates to maintain compliance and reporting accuracy. The Meetings & Events Manager also drives continuous improvement through the creation and implementation of standardized operating procedures (SOPs), checklists, and workflows, enabling scalability of the programs and enhancing operational consistency. Performance metrics and attendee feedback are tracked diligently to identify opportunities for enhancement.

Job Requirements

  • 3-5+ years of meetings, events, or conference management experience
  • experience running multi-day, multi-stakeholder events with complex logistics
  • strong vendor negotiation and venue management skills
  • high operational rigor including use of checklists, SOPs, timelines, and documentation
  • ability to anticipate needs and solve problems in real time
  • willingness to travel regularly within the U.S.
  • CE or medical/dental event experience preferred

Job Qualifications

  • Bachelor's degree or equivalent experience in event management or a related field
  • 3-5+ years of experience managing meetings, events, or conferences with complex logistics
  • Proven skills in vendor negotiation and venue management
  • Experience with continuing education or medical/dental events preferred
  • Strong organizational skills with ability to create and maintain SOPs, checklists, and operational timelines
  • Excellent communication and interpersonal skills to coordinate with faculty and multiple internal teams
  • Ability to anticipate needs, problem-solve in real time, and maintain alignment across stakeholders

Job Duties

  • Plan and manage all logistics for national and regional sedation courses including venues, room blocks, audiovisual set-up, catering, signage, registration, materials, and on-site coordination
  • Coordinate travel, accommodations, communications, and on-site support for DOCS faculty
  • Maintain strong relationships with venues, vendors, and partners to ensure smooth event execution
  • Ensure all courses comply with AGD PACE and internal continuing education requirements including managing documentation, evaluations, certificates, and reporting
  • Collaborate cross-functionally with Marketing, Finance, Content, Customer Support, and leadership to align timelines, materials, and attendance goals
  • Develop and maintain standardized operating procedures, checklists, templates, and workflows to improve scalability and quality control
  • Track and analyze operational metrics, attendee feedback, and performance indicators to drive continuous improvement
