The Meetings & Events Coordinator role at Amex GBT is an exciting opportunity for individuals who are passionate about precision and excellence in travel logistics within the meetings and events sector. This position is integral to the seamless execution of complex, high-visibility programs, where attention to detail and analytical prowess are paramount. Coordinators will manage end-to-end attendee air charter assignments, ensuring that all logistics from arrival to departure are flawlessly orchestrated. This includes creating and reconciling dynamic manifests, coordinating with multiple stakeholders, and handling sensitive traveler information with utmost discretion and professionalism.
As part of a fast-paced and technologically advanced environment, the Meetings & Events Coordinator will apply business rules and prioritization logic to optimize flight assignments for a diverse array of attendees, which includes executives, VIPs, speakers, staff, and general delegates. The role requires continuous auditing and quality checks to maintain data integrity, along with partnership management involving air charter vendors and internal teams such as registration, housing, transportation, and security. This position demands agility in responding to last-minute changes like cancellations or substitutions, and a solutions-oriented mindset to troubleshoot travel disruptions effectively.
Beyond operational excellence, the Meetings & Events Coordinator will contribute by integrating attendee data across various platforms and generating insightful reports that help identify trends and opportunities for process improvement. This role is both a pivotal control point in attendee logistics and a collaborative liaison ensuring a seamless and memorable experience for all event participants. Job Requirements
- Bachelor's degree or equivalent experience
- 3-5 years of relevant professional experience
- Proficiency in data management and event technology platforms
- Strong organizational and multitasking abilities

Job Qualifications
- 3-5 years of experience in meetings and events, travel logistics, or attendee management
- Strong understanding of meetings and events operations, particularly attendee logistics and travel coordination
- Advanced experience handling manifests and large datasets with high accuracy
- Proficiency in Google Sheets including pivot tables and formulas
- Experience with event technology platforms such as Cvent and travel management tools
- Knowledge of domestic and international destinations and travel logistics
- Ability to prioritize multiple tasks and work under tight deadlines in a fast-paced environment
- Strong analytical, problem-solving, and communication skills
- Professionalism and discretion handling sensitive attendee information
- Experience supporting executive-level or VIP attendee management
- Familiarity with air charter operations or group air travel logistics
- Experience with data integration across multiple systems
- Experience supporting large-scale, global, or high-security events
Job Duties
- Lead the assignment of attendees to air charter flights based on role segmentation, applying business rules, prioritization logic, and capacity constraints
- Build, maintain, and continuously reconcile detailed arrival and departure manifests ensuring 100% accuracy of attendee data
- Perform ongoing audits and quality checks to identify discrepancies and resolve issues proactively
- Partner with air charter vendors and internal stakeholders to align flight schedules and special requirements
- Collaborate with registration, housing, transportation, security, and on-site operations teams to ensure seamless attendee journeys
- Monitor and handle real-time changes such as cancellations, no-shows, substitutions, and last-minute flight adjustments
- Troubleshoot travel disruptions, delays, and schedule changes with agility and solutions-oriented mindset
- Support integration of attendee data across platforms and manage data integrity
- Generate and maintain detailed reporting on attendee movement, flight utilization, and manifest accuracy
- Support post-event reconciliation and reporting results while maintaining ownership and accountability
