With a salary range of $70,000 to $75,000 annually, this position offers an exciting opportunity for a dedicated event planning professional to join a respected agricultural organization with a meaningful mission. This specialist will be responsible for managing the CAFB Annual Meeting project plan from conception to completion, ensuring seamless collaboration across departments, and driving innovative marketing strategies that significantly boost member participation and engagement.

In this position, the Meetings and Events Specialist is entrusted with a broad array of responsibilities, including leading event logistics, content management, budget and invoice tracking, vendor coordination, and sponsorship fulfillment. This role demands proficiency in contract negotiation, supplier relationship management, and event entertainment planning to create memorable experiences for attendees. Moreover, the specialist is expected to maintain seamless communication with leadership and stakeholders through timely updates and concrete risk mitigation strategies, thereby enhancing the overall member experience.

The ideal candidate will bring a minimum of three years of event planning experience and expertise in collaborating with cross-functional teams to support event execution. Alongside strong project management skills, this role requires advanced proficiency in Microsoft Office Suite and event management software like iMIS and Access. Knowledge of accounting principles related to invoicing and payment tracking is also beneficial. Beyond technical skills, the successful candidate will embody a passion for community building, excellent attention to detail, and the ability to juggle multiple priorities under tight deadlines.

Job Requirements

  • Bachelor's degree or relevant experience in event planning or project management
  • Minimum of 3 years previous event planning experience
  • Expertise collaborating with cross-functional teams to drive meeting preparation and execution
  • Experience processing and tracking invoices to ensure timely payments and budget tracking
  • Strong understanding of best practices for industry meetings and events
  • Intermediate to advanced proficiency in Microsoft Office including Word, Excel, PowerPoint
  • Proficiency with iMIS and Access software
  • Ability to prepare business correspondence clearly and concisely
  • Detail oriented and able to balance multiple priorities and deadlines
  • Beginning knowledge of accounting systems

Job Duties

  • Manage the CAFB Annual Meeting project plan and drive execution of plan tactics amongst Member Engagement and other departments
  • Provide meeting status updates with risk mitigation and enhancement recommendations
  • Write, deliver, and evaluate RFPs for event locations including contract review and negotiation
  • Plan member-facing event entertainment including music, guest speakers, and entertainment scheduling
  • Oversee registration process for all CAFB meetings and events
  • Create and execute communication and marketing plans for events to drive attendance and engagement
  • Track expenses, reconcile invoices, and create financial reports for meetings and events
