The role of Events Coordinator within CBRE’s Host service line is vital for ensuring smooth and successful event execution. Host is a CBRE service line focused on enhancing workplace experiences by connecting employees to their environments through technology, amenities, and community-driven services. As an Events Coordinator, you will provide essential support to the events team, overseeing key tasks such as billing, guest services, security backup, and managing loading dock operations. This position serves as the Concierge Desk lead, making you the first point of contact for all visitors entering the facility.

Your responsibilities will extend beyond administrative support; you'll be integral in delivering world-class customer service, managing service requests, and maintaining an up-to-date database of local business recommendations to assist visitors. You are also expected to follow property-specific security and emergency protocols to ensure safety throughout the building. This role requires excellent problem-solving skills to address inquiries or complaints effectively and to develop new techniques that support the team’s objectives.

In addition, the Events Coordinator contributes to event day success by coordinating with clients, vendors, and team members on logistics including transportation, signage, displays, and special needs accommodations. You will help create a hospitable and well-organized environment for all attendees and vendors. Support tasks such as conference room turnover and event supply management are key components of the role, requiring strong organizational abilities and proactive communication to preemptively address potential issues. Working closely under the guidance of senior team members, you will be encouraged to suggest process improvements and take ownership of your deliverables within established procedures.

The position demands physical stamina, including the ability to lift heavy loads up to 50 pounds and conduct a range of physical activities such as standing, walking, and climbing stairs. You must be proficient in Microsoft Office tools, especially Word, Excel, and Outlook, and possess excellent communication skills to handle straightforward information exchange.

Job Duties

  • Be the first point of contact for all those entering the facility
  • Greet visitors with a friendly and welcoming demeanor
  • Record and log service requests and track their statuses
  • Provide administrative aid to the event team as needed
  • Deliver world-class customer service to all individuals in the facility
  • Build and maintain a database of local business recommendations including transportation, dining, and entertainment
  • Follow property-specific security and emergency procedures to ensure safety
  • Acknowledge and resolve inquiries or complaints professionally
  • Suggest and establish new techniques to meet team objectives
  • Lead by example and model behaviors consistent with CBRE RISE values
  • Provide support for meetings and events including coordination of guest services such as arrival experience, transportation, signage, displays, and security
  • Create a hospitable environment for attendees, event owners, and vendors
  • Assist with conference room turnover and midday room refresh
  • Respond to event activities such as equipment needs and food and beverage services
  • Organize and track event supplies inventory and inform team about reorder needs
  • Escalate potential issues as appropriate
  • Follow defined procedures to deliver output under supervision
  • Suggest improvements to existing processes for team efficiency
