The role of Meeting & Events Coordinator at CBRE is a full-time position based in Detroit, Michigan, within the GWS Segment of the company. This position plays a crucial role in supporting the events team to deliver exceptional event experiences. As an Events Coordinator, you will serve as the Concierge Desk lead, managing billing creation and processing, acting as a guest services liaison, and providing backup support to building security and mail services/loading dock operations. The role demands a detail-oriented and customer-focused professional who can manage multiple tasks related to event coordination, customer service, and facilities support with professionalism and enthusiasm.

This role is responsible for being the first point of contact for visitors entering the facility, ensuring they are greeted warmly and all inquiries or issues are handled effectively. The coordinator maintains databases of local business recommendations including transportation, dining, and entertainment, enabling enhanced visitor experience. They are tasked with managing service requests, collaborating with clients, vendors, and internal teams to coordinate guest services such as transportation, signage, printing, and event security to create a seamless and hospitable environment on event days. Managing inventory of event supplies and escalating issues when necessary are also important aspects of this role.

Job Requirements

  • High school diploma or GED
  • 2+ years of job-related experience
  • In-depth understanding of a range of processes, procedures, systems, and concepts within own job function
  • Basic knowledge of related job functions
  • Problem-solving skills with capacity to review and select solutions
  • Ability to explain complex concepts clearly
  • Advanced knowledge of Microsoft Office products
  • Strong organizational skills with inquisitive mindset
  • Fulfill physical requirements including stooping, standing, walking, climbing stairs
  • Must be able to lift/carry 50 lbs. or more
  • Ability to follow basic work routines and standards

Job Duties

  • Be the first point of contact for all those entering the facility
  • Greet them with a friendly and welcoming demeanor
  • Record and log service requests and track the statuses
  • Provide administrative aid to the event team as needed
  • Deliver world-class customer service to all individuals in the facility
  • Build and maintain a database of local business recommendations including preferred transportation, dining, and entertainment
  • Follow property-specific security and emergency procedures
  • Notify appropriate parties to ensure building safety
  • Acknowledge and professionally resolve inquiries or complaints from clients, co-workers, and supervisors
  • Provide solutions in a customer service-driven manner
  • Resolve problems and identify appropriate approaches to accomplish team objectives
  • Establish new techniques to meet team objectives
  • Impact team and related teams positively

  • Guide team through practices and procedures
  • Provide support for meetings and events
  • Coordinate guest services including arrival experience, transportation, signage, displays, special needs requirements, printing, and event security
  • Create a hospitable environment for attendees, event owners, and vendors
  • Assist with conference room turnover and midday room refresh
  • Respond to event activities such as gathering supplies, equipment, food and beverage services, and facility security
  • Organize and track inventory of event supplies and alert team when orders are needed
  • Escalate potential issues and concerns as appropriate
  • Use existing procedures to solve straightforward problems
  • Follow defined procedures and processes under supervision
  • Suggest improvements to processes and solutions to improve team efficiency
