The Front Office Specialist role at EyeCare Partners is a pivotal position that serves as the first point of contact for patients within the clinical or office setting. This role encompasses key administrative responsibilities to facilitate a seamless check-in and check-out process for patients. The position primarily involves working in a standard office or clinical environment, with occasional travel to other locations as necessary to carry out job duties. The Front Office Specialist is expected to maintain a professional demeanor at all times, demonstrating urgency and consideration for the time and needs of both patients and medical staff. Responsibilities include verifying insurance authorizations, maintaining accurate flow sheets, completing daily reconciliations and cash drawer management, and complying with all company policies including HIPAA regulations.
This role requires proficiency in Microsoft Office tools such as Excel, Word, PowerPoint, and Outlook to manage various clerical tasks. Additionally, physical requirements include the ability to walk, stand, sit, bend, and lift up to 25 lbs, reflecting the dynamic nature of the office environment. The ideal candidate for this role brings at least one year of experience interacting with customers or patients, preferably within a medical or ophthalmic office setting. A high school diploma or GED is required, with no specific licenses or credentials mandated. Job Duties
- Embrace and execute our Total Patient Experience to build relationships with all patients while delivering great service and support
- provide exceptional customer service during every patient encounter in person or via phone
- display a professional attitude, greet patients promptly with a smile, and thank them when they leave
- answer phones both external and internal
- assure prompt, courteous service at all times
- practice urgency at all times with consideration to the patient's time and doctor's schedule
- double check insurance authorizations to ensure completion and build accurate flow sheets
- check out patients and collect correct payments according to procedures
- manage patient flow in the office and ensure communication to maximize efficiency and customer service
- complete daily reconciliations, close day, countdown cash drawer
- comply with all company policies and procedures, including HIPAA
- perform general office duties and cleaning as assigned by the manager
